How to prepare for certifications

Preparing for a business resilience certification can involve many different activities. As listed above, there are often prerequisites for certifications. Those prerequisites can include a certain number of years of working experience in the field of business resilience and disaster recovery. Some certifications also require that applicants complete certain courses. Be sure to check with the certifying authority to confirm the latest requirements. Many of the certificate authorities also provide their own training programs to help applicants with a guided course of study that covers the topics that will be addressed in a certification exam. The training programs can be offered in person and online. Some certifying organizations also provide the option of self-study guides to help applicants. It's certainly not always necessary for an applicant to take the certifying firm's training programs. For individuals who are confident they have the necessary disaster recovery skills and understand the nuances of the profession in detail, for some certifications, it is possible to sit for an exam without taking additional training.

What is iso 22301.

ISO 22301 sets out requirements for business continuity management systems (BCMSs), providing a comprehensive framework that enables organizations to effectively anticipate, prepare, respond, and recover from disruptions. An effective BCMS enables organizations to detect and mitigate potential threats, ensuring the continuity of their operations. ISO 22301 provides requirements that are suitable for every organization regardless of the type, size, or complexity of operations, allowing them to adapt the standard to their unique operating environments. ISO 22301 is particularly useful for organizations aiming to maintain service delivery during disruptions and strengthen their overall resilience.

ISO 22301 serves both as a preventative and evaluative mechanism. As such, it helps organizations assess their capability to meet specific business continuity needs and responsibilities, ultimately contributing to the ongoing stability of operations.

Understanding the Business Continuity Management Framework

In the ever-evolving landscape of modern business, organizations face many risks that can disrupt operations and threaten continuity. Enterprises must have a structured approach to mitigate and manage these risks. One such approach is implementing a BCM framework. A well-structured BCM framework provides a systematic and strategic approach to ensuring business resilience and recovery during adverse events.

A Business Continuity Management Framework is a comprehensive structure that guides organizations in identifying potential threats, assessing their impact on critical business functions, and formulating strategies to minimize disruption and facilitate a swift recovery.

New call-to-action

One such approach is implementing a BCM framework. A well-structured BCM framework provides a systematic and strategic approach to ensuring business resilience and recovery during adverse events.

New call-to-action

The framework incorporates interrelated processes, methodologies, and standards to enhance an organization's resilience and responsiveness to disruptions.

Key Components of a BCM Framework

To effectively manage business continuity, a robust BCM framework comprises several essential components:

Risk Assessment and Business Impact Analysis (BIA)

Understanding the risks and potential impacts on critical business functions is the foundation of any BCM framework. Conducting a thorough risk assessment and BIA helps identify vulnerabilities, prioritize critical processes, and establish recovery time objectives.

Business Continuity Strategies

Developing strategies to maintain essential operations during a disruption is a core component. These strategies encompass contingency plans, disaster recovery plans, crisis management plans, and incident response plans tailored to address different disruptions.

Business Continuity (BC) Plans

BCPs outline step-by-step procedures and actions to restore critical business functions and processes. They often include communication plans, resource allocation, recovery strategies, and roles and responsibilities during recovery.

Testing and Exercising

New call-to-action

Crisis Communication Plan

A robust communication plan is crucial during disruptions. It defines how communication will be managed internally and externally, ensuring precise and timely dissemination of information to stakeholders, employees, and the public.

Governance and Compliance

Establishing governance structures and ensuring compliance with relevant laws, regulations, and industry standards are vital aspects of a BCM framework. It includes defining roles, responsibilities, and reporting mechanisms.

Continuous Improvement and Maintenance

A continuous improvement cycle involves regular reviews, updates, and enhancements to the BCM framework based on lessons learned from incidents, changes in the business environment, or technological advancements.

Benefits of Implementing a BCM Framework

Implementing a robust BCM framework offers several key benefits to an organization:

Enhanced Resilience

The framework enables organizations to respond swiftly and effectively to disruptions, minimizing downtime and financial losses.

Stakeholder Confidence

Organizations build trust and confidence among stakeholders, including customers, partners, and investors, by demonstrating a proactive approach to risk management and business continuity.

Legal and Regulatory Compliance

Adhering to a BCM framework ensures compliance with legal and regulatory requirements, mitigating potential legal repercussions during disruptions.

Cost-Efficiency

Proactive planning and streamlined recovery processes result in cost savings compared to reacting to disruptions without a structured approach.

In a world with constant uncertainties, having a well-defined Business Continuity Management Framework is imperative for organizational sustainability.

What is Business Continuity?

Business Continuity refers to an organisation's ability to maintain essential functions during and after a disaster or disruption. It ensures that critical operations can continue, minimising the impact on the business. This could involve natural disasters, cyberattacks, or any other unexpected events that threaten to disrupt normal business activities.

A Business Continuity Plan (BCP) is a strategic framework that outlines the instructions an organisation must follow in the face of such disruptions. It includes detailed steps to take before, during, and after an event to ensure the continuity of operations.

Business Continuity Training

The Importance of Business Continuity

Having a Business Continuity plan is crucial for several reasons:

The Importance of Business Continuity

a) Minimising Downtime: Disruptions can bring business operations to a halt. A well-prepared plan helps minimise downtime and keep essential services running.

b) Protecting Reputation: Companies that handle disruptions smoothly are seen as reliable. This helps maintain customer trust and brand reputation.

c) Financial Stability: Extended downtime can lead to significant financial losses. By ensuring operations continue, businesses can protect their revenue streams.

d) Legal Compliance: Some industries have regulations that require Business Continuity Plans. Compliance with these regulations avoids legal penalties and enhances operational security.

e) Employee Safety: A comprehensive plan ensures that employees know what to do during a disruption, prioritising their safety and well-being.

Key Components of a Business Continuity Plan

A Business Continuity plan consists of several key components:

Resilience

Resilience refers to an organisation's ability to absorb shocks and continue operating. Building resilience involves:

a) Redundancy: Having backup systems and resources in place to take over if primary ones fail.

b) Training and Awareness: Ensuring employees are trained on the procedures to follow during disruptions.

c) Technology: Implementing robust IT systems that can withstand disruptions, including cloud solutions and data backups.

Recovery

Recovery focuses on restoring business operations to normal after a disruption. Key elements include:

a) Recovery Time Objectives (RTO): Setting targets for how quickly operations should be restored.

b) Recovery Point Objectives (RPO): Determining the acceptable amount of data loss measured in time.

c) Recovery Strategies: Develop specific strategies for different types of incidents, such as natural disasters or online attacks.

Contingency

Contingency planning involves preparing for the unexpected. This includes:

a) Alternative Work Locations: Identifying backup locations where employees can work if primary offices are inaccessible.

b) Emergency Communication Plans: Establishing methods for communicating with employees, customers, and stakeholders during a disruption.

c) Supply Chain Management: Ensuring that alternative suppliers are available if primary ones are affected.

Difference Between Business Continuity and Disaster Recovery

While Business Continuity and Disaster Recovery are related, they are not the same. Business Continuity maintains essential functions during and after a disruption. It encompasses the overall strategy and planning to keep operations running.

Disaster Recovery, on the other hand, is a subset of Business Continuity. It specifically deals with restoring IT systems and data after a disruption. Disaster Recovery plans outline the steps to recover data, applications, and technology infrastructure to resume normal operations.

Ultimately, Business Continuity is about keeping the business running, while Disaster Recovery focuses on restoring IT systems after an interruption.

Policies and Basic Approach

Sustainability governance and oversight, initiatives.

Mitsui & Co. regards business continuity in times of disaster as a vital management priority. We have formulated a Business Continuity Management (BCM) framework to minimize business risks, such as the loss of customers and damage to our corporate reputation, resulting from the suspension of important business processes in the event that our ability to maintain our business operations is seriously impeded by earthquakes, floods, terrorism, epidemics, power shortages, or other contingencies, or when such a situation is expected to continue for a significant period of time. Following the compilation of business continuity guidelines for business corporations by the Japanese government (specifically, by the Central Disaster Management Council of the Cabinet Office), we formulated a BCM Policy in 2006. Under the BCM framework, we formulated the Business Continuity Plan (BCP) which defines policies, procedures, organizational structures, and other related matters to ensure business continuity or the early resumption of business activities in the event of disaster, respectively for the Tokyo Head Office, other offices in Japan, overseas regional business units and regional blocs, and we regularly review it to ensure that we can maintain an appropriate management structure.

Business Continuity Management Policy

  • Safety of Human Life: Mitsui & Co. regards the safeguarding of human life as its first priority in relation to business continuity management in the event of disasters.
  • Implementation of Business Continuity Management: Mitsui & Co. recognizes the importance of business continuity management in times of disaster and will maintain a business continuity plan and structures to ensure the appropriate implementation and administration of that plan. We will work to enhance the effectiveness of the business continuity plan by improving the business continuity awareness and capabilities of individual employees, and by engaging in interactive dialogue with stakeholders.
  • Continuous Improvement: Mitsui & Co. will formulate, implement, and administer a business continuity plan for business continuity management and will regularly review and continuously improve this plan.
  • Coexistence with and Contribution to Society: When formulating and reviewing its business continuity plan, Mitsui & Co. will consider not only its economic role, but also its coexistence with society and community reconstruction. We will be aware of and respond appropriately to the roles that we may be called upon to perform from time to time, such as the prevention of secondary disasters, community contribution, and coexistence with communities.

Formulated April 2006 Revised October 2020 President and Representative Director Kenichi Hori

In non-emergency situations, the BCM general representative (the General Manager of the Human Resources & General Affairs Division) is responsible for supervision of the overall BCM. The BCM general representative manages the BCP, which includes the provision of education for all employees and training for staff members in charge of emergency response with support from the secretariat of the Emergency Response Headquarters, the establishment and revisions of related rules and documents, and preparation for and response to emergency situations. In case of an emergency, such as a disaster, the Emergency Response Headquarters will be set up, with the BCM officer (the Managing Director who supervises the Human Resources & General Affairs Div.) serving as its head, who will be responsible for the approval of the BCP and implementation of tasks stipulated in the Rules on Emergency Business Continuity Management.

Emergency Response Headquarters

BCM officer Yoshiaki Takemasu (Representative Director, Senior Executive Managing Officer (Taking charge of Business Continuity Plan Management, Human Resources & General Affairs Division)
BCM general representative Yoshiki Hirabayashi (Executive Managing Officer, General Manager of Human Resources & General Affairs Division)
Department in Charge Security Management Dept. of Human Resources & General Affairs Div.

BCP Revision, and BCP-Related Training

The BCM general representative is responsible for supervision of the planning, management and administration of the BCP, the formulation, promotion and implementation of the BCP, the approval of education and training for employees in relation to business continuity, and the compilation of disaster response manuals. These manuals have been created based on the company-wide BCP and set forth actions to be taken by the Emergency Response Headquarters for performing important corporate processes in the event of a disaster, as well as manuals stipulating actions to be taken by individual offices after the occurrence of a disaster. In addition, we regularly conduct business continuity drills involving the immediate start up and operation of the Emergency Response Headquarters based on scenarios in which a major disaster occurs, such as an earthquake directly beneath the Tokyo area.

Mitsui will continually improve our organizational response capabilities by revising the manuals to reflect any issues identified through these drills. We have also introduced a system to confirm the whereabouts and safety of business and administrative staff, contract employees, and temporary staff in Japan. In September 2022, we conducted a general drill, and provided feedback on the results of responses in this drill to all employees, facilitating the use of this system.

In addition, each office maintains stocks of emergency food and equipment. Under the provisions of the Tokyo Metropolitan Ordinance on Measures for Stranded Persons, we maintain a three-day supply of emergency food and equipment for Tokyo Head Office employees and employees of affiliated companies based in the Head Office. Emergency kits containing food and other supplies are also available for all the employees at the Tokyo Head Office and can be taken by employees who have an urgent need to return to their homes.

Response to the Novel Coronavirus (COVID-19)

In response to the global spread of the novel coronavirus (COVID-19), Mitsui established the Emergency Management Headquarters in January 2020 to ensure the safety of Mitsui employees working around the world and their family members, and to maintain business continuity. Mitsui has taken timely and appropriate actions in accordance with directives from national and local governments. We have also implemented measures based on our business continuity plan (BCP) from the perspective of responding to the needs of our business partners and customers, and from the viewpoint of global management. At our operations located in areas where infection was spreading, we have implemented teleworking to prevent infection among our employees. However, as wide-spread infection has now been contained in Japan and around the world, the Emergency Management Headquarters for the response to COVID-19 was disbanded at the end of September 2022. Since May 2023, in light of the reclassification of COVID-19 the under the Infectious Disease Control Law, our response to the disease has shifted to align with the guidelines of the local and national governments.

COVID-19 Workplace Vaccination Program

Mitsui conducted its own workplace vaccination program from June to August 2021 and February to March 2022. Vaccination priority was given to employees with underlying medical conditions and those scheduled for overseas assignments or business trips, followed by general employees. In addition to employees working at the Head Office, including temporary staff, temporary workers on secondment, employees of companies located within the Head Office, affiliate companies, and subcontractors, resulting in approximately 7,100 people vaccinated through this program.
