Preparing your CV and covering letter

A CV is not a list of everything you have ever done; it is a marketing document and should set the agenda for the interview.

The information should be organised under clear headings using a consistent format and ideally should not run to more than two pages. A simple framework could include:

  • name and personal details
  • summary of key attributes and achievements
  • career history (list in reverse chronological order)
  • other experience (voluntary work, committee work etc.)
  • professional memberships etc
  • education and training
  • IT, other technical and language skills – state your level of competency

Your aim is to make it as easy as possible for the reader to find evidence that you have the skills and experience they are looking for.

Tips include:

  • Begin each bullet point or sentence with a single key word summing up the relevant skill.
  • Give active examples to convey achievements and impact.
  • Add quantifiables (eg numbers, timescales) to make your examples more concrete, including tangibles and outcomes.
  • Include transferable skills and qualities developed outside work, for example, through involvement in voluntary activities, societies and sporting activities.

Hints and tips for writing a CV

Look at your CV as if you were the recruiter. After a quick scan can you pick out clear evidence of each of the requirements outlined in the person specification?

  • Do your key achievements stand out?
  • Have you avoided large chunks of descriptive text?
  • Have you used formatting tools (eg bold, italics, capitals and spacing) consistently?

Cover letter

Your cover letter is just as important as your CV and may be the first document that the prospective employer looks at. It’s another opportunity for you to convince the employer that you are a strong candidate and to showcase the skills, experience and achievements that you feel would enable you to succeed.

It is crucial to tailor each letter to each job and to convey your knowledge of the organisation as well as your understanding of the requirements of the role. Please refer to Prospect ’s podcast, ‘ How to Write an Effective CV, part 3 of 3 ’, which explains how to write a covering letter.

When structuring your cover letter, include:

  • Who you are/why you are writing to them – your ‘headlines’.
  • Why you are interested in the role and why you believe your knowledge, experience and skills make you a strong candidate. Provide context for the skills that you refer to – why are they relevant, what aspect(s) of the role would require these skills?
  • Why you want to work for their organisation. This might include: projects/initiatives/research they are involved in; client base, opportunities to expand and develop your skills and experience; opportunity to work in a sector that you have been involved in on a voluntary basis; the values/ethos of the organisation; and the expertise within the organisation.

Use positive language and, as with your CV, make sure that you provide clear evidence to underpin the skills and achievements that you refer to.

If you have recently been made redundant or are currently out of work you could refer to this in your letter and use it as an opening to explain why you are applying to the sector/organisation/role, for example: “Having recently been made redundant from 'x', I am using this opportunity to change career direction in order to pursue ‘x’ or move into a role that will provide me with ‘y'."

Identify the recipient and personalise the letter. If necessary, call the employer to find out who the letter should be addressed to. Use formal language (e.g. use surnames, yours sincerely/or yours faithfully if you do not have the name of the recipient) and be accurate – check spelling, punctuation and grammar and ask someone else to proof-read your letter as well.

Our Take: The candidate starts by expressing his excitement about the company’s goals and then seamlessly proceeds to highlight the programming languages that he excels in. This way, he showcased that he is the right person for the job. He then explains that the job gap that appears in his resume was due to working on a personal project that has taught him some valuable new skills.

Cover Letter Example 2: Changing Careers

Dear Ms. Garcia,

Blending a formal background in marketing with proven success in retail sales and customer service roles, I am looking to transition into public relations and believe I would make a great fit for the advertised position of Public Relations Specialist at your company.

Having both used and sold your products, I am already well versed in your brand and both present and past years’ offerings. Our Take: This candidate leads off with a strong statement about her career change goal and her fit for the specific position at hand. She uses the rest of the letter to discuss her interest in the company and some of her key transferable skills/experience.

Cover Letter Example 3: New Graduate/Entry Level

Dear Ms. Morris:

I am writing in response to your listing in the Memphis Gazette for a nurse’s aide. Please accept my enclosed resume for consideration.

As a CPR-certified lifeguard and an LPN student at Memphis Community College, I have the formal training necessary for this position. Additionally, with two years of experience in retail sales, I have excellent customer service skills that can translate well to patient relations.

After you have reviewed my resume, I hope to meet with you to discuss how I can be beneficial to your team. I look forward to hearing from you to schedule an interview at your earliest convenience.

Our Take: Nice concise approach for an entry-level candidate. She doesn’t have years of nursing experience to point to, so she highlights her training and how her non-nursing work experience has also helped to prepare her.

Cover Letter Example 4: Professional

Dear Mr. Carter,

As an Accounts Payable & Receivable Specialist , I offer a proven ability to accurately process invoices, payments, reimbursements, and tax reports. I quickly learn and adapt to software changes and updates and help team members resolve issues and problems they are having with data input and processing.

Examples of my accomplishments include:

  • Handled biweekly accounts payable processing of checks and ACH payments; reconciled payments made to accounts payable software and addressed any discrepancies that arose.
  • Created a spreadsheet that listed bank and routing numbers to expedite the processing of expense reports.
  • Uploaded and reconciled monthly phone bills for approximately 200 branches and 4 operational centers; total billing amounts were coded for various departments and branches as required.

Our Take: For an experienced candidate, a bit more detail is expected. This candidate customized the bullet points to specifically communicate his experience with the position responsibilities listed in the job description.

Cover Letter Example 5: Manager

Dear Ms. Nguyen,

As a Human Resources Manager with a strong customer service background, I offer expertise in employee relations, benefits administration, and generalist duties. I have made significant contributions to succession planning and workforce engagement as well as ensuring compliance with employment and labor requirements.

I am also known for my ability to help identify and implement key technology and process improvements. I am well-versed in Six Sigma methods and have led projects which produced significant and sustainable savings. Other examples of my work include:

Our Take: This cover letter highlights the applicant’s relevant accomplishments as a leader and manager. It goes beyond stating familiarity with the required job duties and emphasizes results in key projects. Remember that you don’t want to copy and paste your whole resume into the cover letter. Think about the key selling points that you want to feature prominently. The goal is to make them excited to learn more about you.

Cover Letter Example 6: Senior-Level Executive

Dear Mr. Jones,

As a Senior-Level Finance & Operations Executive , I offer proven success in maximizing productivity and improving profit margins. My work spans companies and business units at various stages of growth, including start-up, established, and turnaround settings.

Our Take: This cover letter nicely distills years of experience into a concise overview that really “sells” achievements most relevant to the specific advertised role. Each bullet presents a compelling high-level overview of a specific position, complete with impressive data points. It’s hard to be this concise when talking about a long career! However, a concise letter is always more effective — make the most exciting information jump out of the letter and grab the recruiter’s attention.

Cover Letter Examples (By Industry)

Teacher cover letter example.

Dear Principal Townson,

With five years of experience in teaching high school and a master’s degree in Chemistry, I believe I am an ideal candidate to fill the science teaching position you have open with the retirement of Stacy Jones. My teaching experience was at John Smith High School in Smallville where I taught all levels of Chemistry and helped host the science fair each year.

I keep up with all developments in teaching and chemistry by reading literature and attending conferences hosted by the American Association of High School Science Instructors. I have also volunteered my time at the community center, tutoring all levels of students in general sciences.

I look forward to working in this community and teaching at Rosewood High School. Please review my attached resume. I will be contacting you next week to schedule an interview. Thank you for your consideration.

Our Take: We love how this cover letter emphasizes the applicant’s relevant qualifications in the first line. This puts emphasis on her ability to do the job. Later, she briefly explains how she has kept current with industry developments and shows passion for her career by mentioning her volunteer work.

Nursing Cover Letter Example

Dear Dr. Manning,

Five years ago, I worked my first shift as an emergency room nurse and have never before left the workplace more fatigued and fulfilled. Today, I am proud to declare that I am still an ER nurse. I love this work partly because I flourish in a fast-paced environment. I also take great pleasure in the opportunity to care for patients every day and be there for their loved ones. This is not easy work, but I can’t see myself doing anything else which is why I am applying for the position of Emergency Room Nursing Lead. I believe that I can be a great asset to your team and that I have a proven track record when it comes to patient care as further shown in my attached resume. 

I have reviewed the qualifications required for this position. I am confident to say that I possess all the skills and experience needed. I have a BSN in nursing and have held a nursing license in good standing for over five years. I have experience working in emergency rooms at several large hospitals, and I fully understand all of the regulations that are in place. I also have the kind of team leadership that you need to ensure that even the busiest nights in the emergency room go as smoothly as possible. 

I would love to sit down with you and discuss my qualifications along with your needs when you are free. Meanwhile, please review the rest of my application package. There you will find all the information you need. 

Our Take: The candidate starts by stating her experience and expresses how difficult a nursing job can be. However, she then turns it around by stating that the rewards are worth the effort. We like her storytelling approach and how she highlights her passion for working with patients and transitions into why her abilities qualify her for the job.

Business Analyst Cover Letter Example

Dear Ms. Sousa,

I am applying for the advertised business analyst job at your company that was posted on your website. I am a data-driven critical thinker with excellent interpersonal skills who holds teamwork in high esteem but can also function independently. I am always searching for fresh ideas and solutions that I can bring to the table to increase the company’s efficiency. 

During my time at XYZ Group, Ltd., my previous employer, I developed and implemented a new program designed to drop needless business expenses. In just one year, the costs were reduced by 15%. Apart from project management, I spearheaded the collection and analytics of business processes and data toward creating more efficient business models. Thanks to my achievements, I was ranked as one of the best employees in the company and received recognition from top stakeholders.

I would be delighted to join your team because I believe that the experience, skills, and vast knowledge that I bring to the table could improve the company’s operational performance. Thank you for your time and consideration, and I look forward to speaking to you soon. 

Our Take: Adopting a confident tone in your cover letter is a good way of showing the hiring manager that you have the necessary skills and experience to shine at the job you’re applying to. It’s also great when candidates state their accomplishments and showcase the contributions they can make to a company if hired.

Cover Letters: Basic Rules to Follow

What is a cover letter and how do you write one? It can feel like a chore but it’s actually one of the surefire ways to get an actual job interview.

There are five simple rules to follow if you want to write cover letters that make hiring managers giddy with excitement before meeting you:

1. Your cover letter should be grammatically correct and error-free

Avoid making grammar and formatting mistakes to give your cover letter a professional appearance (regardless of the job you’re applying for). If you’re not a particularly good writer, use a tool such as Grammarly to clean up your text, or kindly ask someone to read and edit your document.

Hiring managers get turned off when noticing mistakes in your cover letter. It sends them the wrong message about your professionalism and attention to detail.

2. The maximum length of your printed cover letter should be one page

If an employer asks for a physical cover letter, make sure it’s only one page long. You’ll want to add essential information highlighting your professional experience and best personality traits. The letter should also be printed on high-quality paper just like your resume.

If you send your cover letter digitally, cut and paste it into the email and attach your resume. Make sure that the letter is easy to read with minimal scrolling. Get to the point and be succinct. 

3. The letter should include examples of your qualifications

You can write a cover letter in paragraph or bulleted formats, but either way, you should include examples of your achievements and credentials. While you want to be brief, you also want to encourage the reader to review your resume for greater detail. The best way to do that is to call out two or three things you have done professionally to catch their attention and make them want to know more about you.

4. Your letter should address a specific person

Whenever possible, do some research and learn a few things about the person who will be reading your cover letter. This is a minor detail and some hiring managers won’t care, but it can distinguish you from your competition all the same. More importantly, don’t send an obviously-generic letter that has not been customized for the company/position.

5. Your letter should end with a call to action

When you close your letter, be sure to ask for a meeting. It is obvious that you want an interview when you submit a cover letter and resume, but job hunting is usually helped along with a proactive approach. Therefore, at every point in the application process, you should seek to move along to the next stage of consideration.

Don’t miss the opportunity to encourage a meeting with the hiring manager when ending your letter. Also, be sure to thank them for their time and consideration.

Do You Need a Cover Letter?

Second chances to make good first impressions in the job search are scarce. Adding a great cover letter at the beginning of your resume gives you the opportunity to “wow” the hiring manager. It also helps you influence their opinion prior to meeting you. Remember that your resume cover letter will be reviewed by a real live person who will be deciding whether or not you are worth their time to interview. It makes the difference between your resume going to the “yes” pile rather than the “file for future opening” (or the real or digital garbage can).

Even though there are times when a recruiter or hiring manager will skip right over your cover letter and focus on the resume, other screeners won’t even look at your resume if the cover letter doesn’t get their attention. Why take a chance? Write a strong cover letter and you’ll know that you’re doing everything possible to get past the gatekeepers and score an interview.

There are plenty of resources on the internet that you can learn from. A simple Google search might take you a long way when looking for a job. But once you find one you really want, you start thinking that you’re not ready to go get it.

A strong cover letter can give you confidence in your application. Send one along with your resume and you’ll know that you might have already stirred a potential employer’s curiosity.

Three Situations When a Good Resume Cover Letter is Critical

1. when you need to include information that should not go into the resume.

A resume is a formal business document with strict rules that must be followed. These rules include not writing in the first person or including personal information like your desire to relocate.

However, there are times when you need to communicate this type of information in order to make the case for your fit for the position.

​​ Example: Your cover letter can be used to communicate your intention to make a transition in your career or move to another city/state. Recruiters receive thousands of unqualified resumes for every position. They will look at your resume and cover letter and immediately trash them if they don’t see a fit — assuming that you are another one of those annoying applicants who applies for every job posted. This is always a challenge for career changers and individuals looking to relocate and a good cover letter can make a big difference.

Example: Your cover letter can also explain away other aspects of your particular career situation that might not be appropriate to include on your resume. For example, if you took some time away from the workforce, but have kept your skills and knowledge up-to-date.

In some job ads, the company will ask for specific information to be included in your cover letter. This technique is used to make screening easier – if someone can’t follow simple application directions, why waste time on an interview? Pay careful attention to the information they request and be sure to address it.

One problematic area is if they ask for salary requirements to be included in your cover letter. Companies make this request to help them rule out individuals with higher salary requirements than they have budgeted for the position, but it can also lock you into a lower pay range than they might offer you otherwise.

However, ignoring the request could disqualify you as well. Ergo, I suggest you research the average salary for the position you are applying to in the state of the opening and include a range slightly above and below that number .

2. When you want to reference a network connection

There is no right way to include in your resume, “Our mutual associate John Smith referred me to this role and says he thinks I will make a great fit for the job opening.” That is a reference line reserved solely for the opening paragraph of a cover letter. There are multiple ways you can mention a network connection or mutual friend in a cover letter, but such a statement has no place in a resume whatsoever.

Note: In professional resume writing, it has become passé to include a list of references on your resume or even the line “references available upon request.” Such information takes up valuable real estate on your resume (which should be 1-2 pages max) and it is best to focus on your achievements and qualifications instead. Besides, the hiring managers know you will give them references when they request them.

Rather than waste space on your resume, prepare a reference sheet with the same header as your resume and give it to the interviewer at the end of your meeting.

This sheet should include the first and last names of your references, their titles and company names, city and state, phone numbers, and e-mail addresses if possible.

You can even be proactive and have letters of recommendation ready to hand to the hiring manager at the end of your meeting, but don’t send them prior to that initial interview.

3. When you want to emphasize why you’re interested in the company

One way to distinguish yourself as a job candidate is to research the company you are interviewing with and talk about things you like or ask questions about the work they have coming up. This demonstrates your interest in their particular organization as opposed to them being just another job ad you responded to in your desperate attempt to find employment.

You can use your cover letter to show that you’ve done your homework and see a strong fit with the organization. Within the second or closing paragraphs of your cover letter, you can mention being interested in the specific work the company does, recent grants they have been awarded, a product they recently released, etc.

Again, this is not appropriate for inclusion on your resume, but adding it to your cover letter can help you stand out from the stack of applications the hiring manager is sorting through on the day your resume passes by him/her.

Cover Letter Format Examples

When choosing a cover letter format, consider what stage your job search is in and how you want hiring managers to perceive you. Cover letters are used for many different reasons and the proper format for each one varies.

The three main types of cover letters are the application cover letter, the prospecting cover letter, and the networking cover letter. You may also send cover letter emails which are an effective and increasingly common way to introduce your resume.

Let’s take an in-depth look at each type of cover letter and see exactly what sets them apart.

Application Cover Letter

This is the most common cover letter used alongside a resume during a job application. It’s geared toward a specific job, and it is designed to highlight the skills and specifications listed in the job posting.

The application cover letter is a vital instrument that gives you the ability to sell yourself as a job candidate. It rounds off your resume and expands on relevant parts of your work history and qualifications.

Application Cover Letter Example

Dear Ms. Osbourne,

I am writing this letter to express my interest in the graphic designer opening as advertised on your website. 

If hired, I believe I can begin making valuable contributions to the design team of your company from day one. I possess a wide range of abilities that combine fresh art and design principles. Furthermore, my knowledge of Adobe Creative Suite, HTML, and CSS will allow me to play a pivotal role in the implementation of your design initiatives. 

During my previous job, I led a team of six designers to develop and implement the graphic, layout, and production of communication materials while helping clients cut their costs by an average of 17%. I also oversaw the efficient use of production budgets running from $3,000 – $20,000 and developed a myriad of marketing programs including advertisements, presentations, infographics, newsletters, brochures, and logos that have improved client transactions by an average of 35%.

I look forward to discussing face to face how my skills and strengths can best serve your company. In the meantime, please review the enclosed resume and portfolio. Thank you for your time and consideration. 

Our Take: In the first paragraph , the candidate is quick to mention all the tools they employ to bring value to the company. They use the second paragraph as a canvas on which to paint all of their accomplishments and relevant experiences.

Prospecting Cover Letter

Prospecting cover letters are also known as letters of inquiry or cold call letters. They are useful if you’re looking to apply to a company that isn’t actively hiring or isn’t widely advertising. A prospecting cover letter shows your interest in learning about available positions while at the same time demonstrating eagerness and initiative.

If the company decides to expand its talent pool, sending a prospecting cover letter could put you at the top of the list of desirable candidates.

Prospecting Cover Letter Example

Dear Mr. Patel,

Your company recently came to my attention while reading a very interesting LinkedIn article about how you’re becoming innovators in the industry. I’d very much like to embark on this journey with you. I haven’t seen any open positions on your website, but I’d like to be considered for open positions in the future. I’m interested in pursuing a career in software engineering. The hybrid work model that your company employs couples well with my extensive remote experience. 

I have a bachelor’s degree in Software Engineering, and in the following months, I will obtain a certification from the Institute of Certification of Computing Professionals. In addition to my two years as a freelance software engineer, I also have four years of software engineering experience at a publicly traded corporation. 

Please review the resume I’ve attached which contains additional information on my skills and experience relevant to your company. I’d love to discuss any openings you may have coming in the near future. Thank you for taking the time to read this letter.  

Our Take: This candidate took the bull by the horns and went straight to knocking on the company’s door. Even if there is no open position, their chances will grow when a job becomes available.

Networking Cover Letter

Networking is a highly effective method of finding a job. According to the U.S. Bureau of Labor Statistics, 70% of all jobs are found through networking. It can help you discover job opportunities that might not be advertised yet or it can provide you with a job opportunity that was previously non-existent.

Sending a networking cover letter during your job search is a good idea if you need help from a contact in your industry or career field to introduce you to a potential employer.

Email Cover Letter

This simple, short, and professional cover letter is sent over email when a formal cover letter is not requested in a job posting. It does not follow a specific format but usually includes a greeting and a simple body of text explaining your experience and interest in the company. You should also include a closing with references to any attachments such as your resume, portfolio, samples, or any other necessary documents.

An email cover letter should be a maximum of two paragraphs long and the writing style should be casual but still professional. Remember to create a subject line that includes the position you’re applying for.

How to Write a Prospecting Cover Letter

Also known as a letter of inquiry or a cold call letter, a prospecting cover letter is a useful tool if you have an interest in a company that isn’t actively hiring or isn’t widely advertising. A prospecting cover letter expresses interest in learning about available positions, demonstrates initiative and eagerness, and puts yourself at the front of the interview line when or if the company decides to expand its talent pool.

However, the problem remains: how do I write a successful prospecting cover letter? It’s a common question to ask, especially to construct one that isn’t overreaching, a simple laundry list of your skills, or a blanket template that you send to every employer. A prospecting letter is a dynamic piece that should balance your skills with tact, leaving a potential hiring manager with the details they might need about a prospective candidate for future openings. If you have a few companies that you’ve always dreamed of working for, use these tips to help you construct an intriguing, well-written prospecting cover letter.

Research Several Companies

Even if you only have a sole company in mind, don’t limit yourself by submitting just one prospecting cover letter. Cast a wide net by constructing a list of five to 10 companies. To choose these companies, you can make criteria such as mission, vision, company culture, or opportunity for advancement. Or you use the following research methods to compile your list of prospective companies:

  • Use social media platforms, especially LinkedIn, to connect with people who work for the company
  • Reach out to former colleagues, coworkers, or classmates that now work for one of your target companies
  • Perform an online search for companies in your field of expertise using search terms like “Top Marketing Companies” or “Best Software Development Firms”

Know Who You’re Writing To

While you can address your prospecting letter to a generic “Dear Sir or Madam” or the ubiquitous “Dear Hiring Manager,” you will make the best impression if you do a some investigative work to reveal the man or woman who makes the important decisions. Some methods you can try to find the person who you’ll resonate with might include:

  • Explore the company’s website staff directory or try to find the person on LinkedIn.  Look for human resources contacts or a person with the title of Hiring Manager.
  • Check the company’s website for job listings.  You can do this even if the jobs are not related to your desired position. The job ads will likely list a company hiring contact.
  • Call the company.  This old-school approach is surprisingly effective if you’ve exhausted all other avenues. Simply ask the receptionist for the name of the hiring manager. If you feel strange being so straightforward, ask to verify the correct spelling of the hiring manager’s name before you send out an email.

If all else fails, you can still go with a nonspecific title. But if you can track down the right person, it shows initiative and that personal touch. Or when all else is equal, it makes you stand out

How To Grab the Attention of the Hiring Manager

A prospecting cover letter is a means to introduce yourself to a company, list your qualifications, and inquire about open positions. However, your letter shouldn’t read like a technical manual. A hiring manager will read thousands of cover letters over his/her career. They may even fall under the “ six-second rule .” This is the idea that you have six seconds to grab the attention of the person reading your cover letter. If you don’t, your application falls squarely in the reject pile. Thus, you can use your prospecting letter to set yourself apart from the field.

Keep in mind that the expansion of remote work has created fiercer competition than ever. Here’s how to make your cover letter stand out:

  • Draw in the hiring manager with a powerful opening sentence.  Praise the company or immediately state your best qualification.
  • Write in a tone that is industry-suitable.  Don’t use casual, regional slang if you want to work for a national company.
  • Use humor and whimsy when appropriate.  But don’t try to be a comedy writer if you are interested in a position as a Senior-level Business Analyst.
  • Add personalization.  Inject your own research about the company instead of submitting a stock form letter to all of your prospects.

With these brave words to use on your resume to attract the attention of potential employers.

Demonstrate How You Can Add Value to the Organization

While incorporating the aforementioned attention grabbers, you also need to discuss how you can potentially add value to the organization. Yet this isn’t just a list of accomplishments or braggadocious commentary. The difficulty of this task is further exacerbated by the fact that you’re not applying to a specific position. Instead, you need something that’s more broad on how you would fit into any relevant position within the company.

You can certainly start with tasteful examples of past successes and how they would translate to a position with the company you’re prospecting. Furthermore, highlight some of your transferrable and employable skills that make you an attractive candidate for the future. These can be a mix of hard and soft skills. Here are some examples of what you may add based on your own unique skill set:

  • Great listening skills
  • Training others
  • Collaborative skills
  • Conflict Resolution
  • Strong communication skills
  • Attention to detail
  • Leading productive meetings
  • Hiring and interviewing
  • Various computer skills or proficiencies

  • Time management and multitasking
  • Ability to learn new skills

You can obviously come up with more on your own, but the main idea is to provide a sense of what you bring to the company the next time they have an open position.

Finish Up With the Next Phase

Although you could end a prospecting cover letter with a simple “Regards” or “Sincerely,” this doesn’t tie the letter together like providing information for the next step or phase in the process. Instead, include contact information such as an email or phone number, as well as links to your LinkedIn page or online portfolio. While not absolutely necessary, you could provide your resume for the hiring manager to peruse at his or her leisure.

Example of a Great Prospecting Cover Letter

Even if you have a basic idea of how to ride a superb prospecting letter, seeing an example can provide you with the framework to shape one to your personality and writing style. Remember that hiring managers have been around; they’ve seen templates before, and a surefire way to have your email disregarded is to simply copy one of these examples. The above prospecting cover letter should give you a basic idea of where to start, but don’t be afraid to put your own spin on it. If humor is your thing, throw in some of your best stuff. Or if your position is of a more serious nature, stick to accomplishments. Just as you’d dress for the job you want, you should create a tone for the job you desire. But any details or language that can make you stand out is always a welcomed addition to a cover letter.

Keep in mind that you should also tailor each prospecting cover letter to each company you send one to. The intro paragraph is where you’ll usually differentiate from other employers and demonstrate your knowledge of the organization. While you might be able to keep your accomplishments the same, always conduct your research to add in-depth knowledge and why you want to join the company. Your Work Isn’t Done: How To Follow Up on Your Prospecting Cover Letter

However, this isn’t like a traditional follow-up that you’d have after the interview. If you haven’t heard anything back in a few weeks, start your follow-up by seeing if the company has posted any jobs recently. A cover letter introduces and markets you effectively by complementing your CV.

A cover letter tells your story by highlighting your relevant strengths and motivation for the person and organisation you are writing to, rather than listing all the things that can already be seen on your CV.

Always take the opportunity to submit a cover letter if you are given the chance.

The cover letter gives you scope to showcase what interests and drives you, and your enthusiasm for an organisation and the role. You can use it to align yourself with the organisation’s strengths, values and culture, and highlight in a targeted way your knowledge and strongest, most relevant skills for the position.

The content and style are up to you, but a logical and engaging structure is key. Below are some guidelines.

How to Write Cover Letters

Aim for a professional tone that conveys your message to the reader succinctly - remember it's not an essay or dissertation! Write in clear, concise English – take care not to drown the reader with your detail and avoid jargon they may not understand.  The Plain English Campaign  has some good guidance on improving your writing style.

Structure it like a business letter, brevity adds power and aim for no longer than 1 side of A4 in length. However, if the organisation gives you very specific instructions about the structure. length and content, follow their guidance. 

Introduction

Introduce yourself and explain why you are writing. If you are responding to an advertisement, state where you saw it. This tells the recruiter why they are reading the letter, and it gives them feedback on which of their advertising sources are working. You need to think about how you would like to introduce yourself; it could be that you mention the course you are studying and when you plan to finish it along with your place of study.

Why this job?

Explain why you are interested in the job and the organisation. Tailor the letter to the organisation and job description to make it clear that you haven't sent out multiple copies of the same letter to different employers. 

Draw on your research, especially what you have learnt from speaking with their staff (e.g. while meeting them at a fair or event, or during work shadowing/experience) as this will demonstrate an awareness and understanding of them that goes beyond the corporate website. Be specific about why the position is particularly attractive for you, and back this up with evidence from your past, or by linking this to your overall career plans, and what you find exciting about this sector, don’t just repeat the text from their publicity material.

Explain why you are well-suited to the position. Refer to the most relevant skills (c.3-5), experience and knowledge you have and match what you say to the requirements outlined in the job description. Tell your story and highlight key evidence so that you are building on your CV, but not using exactly the same phrases. Make sure you read our guidance on  demonstrating you fit the job criteria  for more advice.

As your aim is to convince the recruiter that you are a suitable candidate for the job,  focus on your accomplishments and the transferable skills that are relevant to the role. State explicitly how you match the job criteria – don’t expect the person reading your letter to infer your skills or experiences for themselves. 

Support your claims by referring to examples that are already detailed in your CV. You can make a stronger, more credible case by linking different experiences that highlight similar skills or competences. For example:

  • You first demonstrated your organisational skills by creating (an event) at school, and you  have developed them further by raising (£xx) at last year’s fundraiser and, most recently, by leading (another event) for your society attended by (number) of people.
  • The role (applied for) would allow you to further explore your interest in mental health well-being  which has driven your success as college welfare officer and the personal sense of achievement gained from working as a peer counsellor.

Reiterate your desire to join the organisation and end on a ‘look forward to hearing from you’ statement, followed by ‘Yours sincerely’ if writing to a named individual and ‘Yours faithfully’ if you have not been able to find a named contact. 

  • Write to a named person if you can
  • If you have not been able to find a named contact, you could use ‘Dear Recruitment Manager’ or ‘Dear Recruiter’. 
  • Check your spelling and get someone else to read it over.
  • Check that it says clearly what you want it to say.  Are there any sections that are hard to read, overly long sentences? If yes, try to simplify the language, avoid jargon, use shorter sentences or take out that section completely.
  • Make the letter different each time. If you insert another company name, does the letter still read the same? If so, tailor it more specifically to the firm - you may need to do further research
  • Don’t start every sentence with “I”.
  • Give evidence for all your claims.
  • Be enthusiastic and interested.
  • Don’t repeat your whole CV.
  • It’s normal to find cover letters tricky to write. Give yourself plenty of time before the application deadline to redraft.

Academic Cover Letters and Statements

Academic cover letters.

Academic cover letters vary in length, purpose, content and tone. Each job application requires a new, distinct letter.

For applications that require additional research or teaching statements, there is no point repeating these points in a cover letter – here, one page is enough (brief personal introduction, delighted to apply, please find enclosed X, Y, Z documents).

Other applications ask for a CV and a cover letter only, in which case the letter will need to be longer and require more detail. Others ask explicitly for this detail in the form of a supporting statement that sets out how you fulfil the job criteria. Aim for a maximum length of two pages, though for roles at associate professor level and above it may extend to 3-5 pages. In all cases it is important to use the space effectively and show that you can prioritise according to what they are looking for.

In all cases:

  • Your letter is a piece of academic writing – you need a strong argument and empirical evidence
  • Write for the non-expert to prove that you can communicate well
  • Make sure you sound confident by using a tone that is collegial (rather than like a junior talking to a senior)
  • Demonstrate your insight into what the recruiting department is doing in areas of research and teaching, and say what you would bring to these areas from your work so far.
  • Give quantifiable evidence of teaching, research and funding success where possible.

Teaching Statements

What is a teaching statement and why do you need one.

When making an academic job application, you may be asked for a teaching statement (sometimes referred to as a ‘philosophy of teaching statement’). These statements may also be requested of candidates for grant applications or teaching awards.

A teaching statement is a narrative that describes:

  • How you teach
  • Why you teach the way you do
  • How you know if you are an effective teacher, and how you know that your students are learning.

The rationale behind a teaching statement is to:

  • Demonstrate that you have been reflective and purposeful about your teaching. This means showing an understanding of the teaching process and your experience of this
  • Communicate your goals as an instructor, and your corresponding actions in the laboratory, classroom, or other teaching setting.

Format and style of a Teaching Statement

There is no required content or format for a teaching statement because they are personal in nature, but they are generally 1-2 pages, and written in the first person. The statement will include teaching strategies and methods to help readers ‘see’ you in a lab, lecture hall, or other teaching setting. The teaching statement is, in essence, a writing sample, and should be written with the audience in mind (i.e. the search committee for the institution(s) to which you are applying). This means that, like a cover letter, your teaching statement should be tailored for presentation to different audiences.

Articulating your teaching philosophy

Consider your experiences as both teacher and learner, and always keep your subject at the forefront. Consider all opportunities that you have previously had to teach, mentor, or guide, and determine instances that were both successful and perhaps not so successful. Understanding why and how learning happens is an important part of your teaching philosophy.

Here are some general areas to focus on in your teaching statement:

Goals : Convey your teaching goals. What would you like students to get out of your courses? What matters most to you in teaching and why?

Strategies : List effective teaching strategies. How will you realise your goals? What obstacles exist to student learning and how do you help students overcome them?

Evidence : Specific examples of your teaching experience are powerful in a teaching statement. Provide evidence that your students have learned (or not) in the past.

Research Statements

Some applications ask for a short research statement. This is your opportunity to showcase your vision for your research, propose a research plan and show how this builds on your current expertise and achievements. It forms the basis for discussions and your presentation if you are invited for interview.

Remember to:

  • Provide a big picture overview of your research vision
  • Make sure there are clear links between your proposal and the work of the recruiting institution.  Each statement must be tailored to the particular role you are applying for
  • Write about your research experience stating the aims, achievements, relevant techniques and your responsibilities for each project
  • Write as much (within the word limit) about your planned research and its contribution to the department, and to society more broadly
  • Invest time and ask for feedback from your supervisor/principal investigator or colleagues.

Tips for Junior Research Fellowship or JRF Applications

Read the job description carefully to understand what is prioritised by the recruiting College or institution(s) beyond furthering your research.  If there are additional responsibilities such as outreach, mentoring, expanding or fostering academic networks, you will need to provide evidence of your interest and experience in these areas, as well as statements about how you would fulfil these roles when in post.

Try to meet current junior research fellowship (JRF) holders to gain further insight into what the role entails on a daily basis and what is expected by senior colleagues.

Show how your research contributes to, extends and/or maximises the impact of other work going on in the university. Then state why the JRF would enable you to further these in specific ways.

Think about how to demonstrate your experience in the following areas:

  • Your research vision.  Can you outline a big picture view of the research you want to do and its impact, for the department, the field and the wider society
  • Publications, think broadly here and include journal articles, book chapters, policy papers, expert reviews, public commentaries and any other type of media coverage
  • Funding, give prominence to any funding awards and to your grant-writing experience
  • Participation in professional activities such as establishing collaborations with people or organisations outside the university, reviewing journal articles and membership of relevant societies
  • Outline how you intend to participate in knowledge exchange and public engagement within your fellowship. These activities are now recognised as significant components of academic life

When it comes to selling your qualifications, skills and experience to potential employers your CV and cover letter are your shop window.

Despite many firms now using online forms for their applications, a CV and cover letter are important as they allow you to gather all your information in one place. They're also useful for speculative or ad hoc opportunities. Having a strong up-to-date legal CV and cover letter means you will be ready for any opportunity which might arise.

What should I include in my legal CV?

Your legal CV should be around two pages in length, and follow this general structure:

  • Personal details  - At the top of the page, include details such as your name, address, email and telephone number.
  • Education and qualifications  - Detail any professional memberships (e.g. the Law Society) or qualifications you possess, such as the  Solicitors Qualifying Examination (SQE) . List your degree, A-levels and GCSEs; when discussing the former, mention the  areas of law  that you studied while at university and state your dissertation title.
  • Work experience  - Profile your work history, including the organisation you worked for and its location, plus your job title and, if applicable, your practice areas. Describe your key tasks and responsibilities, paying close attention to the significant results of your actions. You could separate your work experience into different categories, such as legal, commercial and  voluntary . Use your  law work experience  to demonstrate your passion for a career in the field, and your part-time work to exhibit your transferable skills such as commercial awareness.
  • IT and language skills  - Outline your level of proficiency with relevant software packages such as Microsoft Word and Excel and mention any additional languages that you speak.
  • Activities and interests  - Avoid listing irrelevant hobbies such as reading or listening to music. Instead, discuss your involvement in sporting teams and other organisations, highlighting any positions of responsibility you've held or awards you've gained. Experiences - such as starting a new club or society at university - can help you stand out.
  • Referees  - You don't necessarily need to give references at this stage. Stating 'references available on request' will usually suffice.

How do I fine tune my law CV?

'Law firms receive thousands of applications. The best advice is to make it easy for the person reviewing your application by having clear sections with headings, including all of the relevant information so they don't have to contact you for more detail,' explains Katherine. 'Make sure that it is consistently formatted with a simple layout. Sell yourself, don't just say 'I worked for X firm as a Y.' Tell us what you actually did, the skills you developed and what you achieved.'

As well as following the above advice, you should also ensure that your CV is:

  • presented using bold sub-headings and bullet points
  • if necessary, printed on good-quality paper
  • read by a friend, family member or careers adviser before submission
  • submitted well before the deadline
  • typed in size-11 Arial, or a similarly clear and professional-looking font.

It doesn't matter if you're completing a bespoke application form or drafting your own legal CV, the basics stay the same. You need to:

  • Pay attention to detail  - 'Double check spelling and grammar - a lack of attention to detail will inevitably mean that you do not progress to the next stage of the recruitment process,' says Katherine. Ask someone else (a family member, friend or careers adviser) to check your work. After all, spelling a firm's name incorrectly doesn't give the best first impression.
  • Remember that relevant work experience doesn't always have to be legal  - Other types of work and volunteering experience can demonstrate that you are customer-focused, well organised, a good team player and a successful problem solver. Firms like to see what you have been up to outside of your studies. Rather than thinking 'I have no experience' try to work out how to articulate the experience you do have in a way that firms will see as relevant.

What should I leave out of a legal CV?

When writing a law CV, you shouldn't:

  • leave any unexplained gaps in your career history
  • add too much detail
  • include 'personal details such as your date of birth, marital status, nationality or a photo,' says Katherine
  • include your age, gender, marital status etc. as these are irrelevant details
  • use overly outlandish formatting
  • use pictures or tables
  • write bland profile or objective sections
  • write 'CV' or 'curriculum vitae' at the top.

It should go without saying, but also avoid lying on your CV. Be authentic. Integrity in law is everything.

Can I use AI in my legal applications?

While law firms embrace new technologies and are committed to moving with the times, it's always best to check with organisations of interest if they welcome applications crafted using AI technology.

For example some firms may allow it's use as long as it's used responsibly - for research or as a starting point, rather than using it to produce fully-formed answers, CVs or cover letters. Among fears of accuracy, authenticity and originality other firms prefer it not to be used at all.

How do I write a legal cover letter?

As the number of applications often far outweighs the number of jobs available, writing a strong cover letter is essential for any law career, as it helps to persuade employers that you'd be a fantastic recruit. It should be one page long, and:

  • demonstrate your knowledge of the law firm and wider  legal sector
  • elaborate on your key skills, experiences and characteristics, without simply repeating your CV
  • explain why you aspire to work for the organisation.

Bear in mind that employers look at your legal cover letter as an indication of your written communication, so make it interesting.

Write about why you want to work for a particular firm. For example, if you're applying to a niche sports law firm have you had work experience with a sports company or are you part of any sports teams or clubs? If you're applying to an international firm, is it because you have language skills or have you had experience of working abroad?

Make sure to read job adverts carefully. What is the firm telling you they want in a candidate? Do they mention communication skills, attention to detail etc.? This is your chance to choose something from your experience to demonstrate those skills. As prospective lawyers employers want to see you using evidence to support the points you make. If you're a good communicator what's the evidence?

To achieve these objectives, your legal cover letter should follow this general structure:

  • Opening paragraph  - Briefly mention the position you're applying for and how you found out about it.
  • Second paragraph  - Tell the recruiter who you are and what stage of your career you're at. Explain how your qualities can benefit the firm with practical evidence from your work experience, academic history or extra-curricular activities. Use powerful and positive language throughout without exaggerating.
  • Third paragraph  - Tell the organisation why you're specifically attracted to them and their work citing, if possible, any current or recent cases of interest.
  • Closing paragraph  - Mention that you've enclosed your CV and look forward to hearing from the firm. Explain when you'd be available for interview and cover any practical issues you've been asked to address, such as salary expectations.

How do I target my application to a law firm?

It's much wiser to submit between five and ten highly targeted applications than dozens of generic, copy-and-paste ones. Every application should be treated as an individual project.

Consider why you're applying to a particular firm, because it's more than likely you'll be asked this question at interview stage. What attracts you to certain areas of law and particular firms? Do your values match the firm you’re applying to?

Thoroughly research the prospective organisation - the more you know about the firm, the more tailored your application will be. Regularly checking the news sections of firms' websites will allow you to reference current cases and projects in your application and understand which skills would come in useful. What's more, possessing such knowledge will allow you to address your application to the most relevant individual.
