When you craft a well-executed presentation , your message becomes more memorable. You’re not just sharing information; you’re weaving a story, painting a picture and leaving a lasting impact on your audience’s minds.

We’re living in the age of information overload, where attention spans are shorter than ever. A good presentation slide takes this into account, breaking down complex information into bite-sized chunks. It guides your audience through a logical flow, allowing them to digest information effortlessly and retain key points without feeling overwhelmed.

To help you stay ahead of the game, I’ve compiled a list of the 12 best software for presentations. These PowerPoint alternatives offer a combination of user-friendly interfaces, stunning visuals, collaboration features and innovative functionalities that will take your presentations to the next level.

This integration allows you to incorporate charts, graphs and written content from these tools directly into your presentation.

But that also means that Google Slides heavily relies on an internet connection for full functionality and access is more limited compared to desktop-based software. Although an offline mode is available, Google Slides has certain limitations and may not provide the same level of functionality as when connected to the internet.

Templates and customization features-wise, Google Slides also have fewer design options compared to other presentation tools. This may limit the level of visual creativity and flexibility for those seeking intricate designs or specialized effects.

Top 10 Benefits of High-End Presentation Software

Speaker giving a presentation on stage

If you frequently give keynote presentations, you know how important it is to get those presentations right.

They need to look fantastic, and they need to run reliably— and this is true whether you’re using a simple slide deck or a complex, interactive presentation.

The market for presentation software is largely broken up into two categories: basic office-style apps, and high-end presentation software. Basic office apps often have a free version and are great if you don’t need to do anything complicated.

Try ProPresenter for Free CTA

The other category is high-end presentation software, and it’s the category ProPresenter falls into. High-end solutions tend to give you a lot more abilities than regular presentation software, cost more, and are much more common in high-performance scenarios.

So which category is right for you? You’re probably used to PowerPoint , but want to see what you might be missing out on, so here are 10 benefits found in high-end presentation software.

1. Stage Outputs with Unlimited Customization

On stage screen giving speaker prompts through presentation software

Stage Screens, Stage Displays, or Foldback Screens all let the presenter see more info than the audience. Basic apps often include a single, non-customizable presenter view to show speaking notes and slide previews for the person presenting, and is usually locked to the device running the show.

Stage Screens let the presenter see what the audience sees, as well as what’s coming up next, custom messages, clocks, countdowns, musical chords, or timers to know how much longer they have to speak. For example, custom messages can tell the speaker they have an extra 10 minutes to speak, or that the weather has changed and will affect attendees. All of this can be done without needing them to look at their phone and break the connection with the audience.

ProPresenter is top of its class here: the unique presentation architecture gives you unlimited customization in the stage views. This includes using different views for different speakers or 2 or 3 stage screens to show more information in different formats.

2. Redundant Backup

presentation software advantages

You’re giving a presentation and it’s going great. The audience is laughing along, they’re taking in everything you’re saying… then your presentation computer crashes. Blue Screen of Death. It needs to be fully rebooted, and all the momentum is gone as you try to continue your presentation while resurrecting technology.

With high-end presentation software, you’re able to run a simultaneous, redundant presentation with safety failover, so if a computer crashes the presentation goes on, and the audience doesn’t notice a thing. For can’t-fail events, having a backup presentation computer that takes over if there’s a failure can be invaluable, especially if it does so seamlessly. This is possible with high-end presentation software, and ProPresenter even lets you sync presentation computers all over a facility.

3. Integrations with Pro-Grade Video Hardware and Software

AV booth using ProPresenter during a live event

When you choose Microsoft PowerPoint or Google Slides, you’re choosing a desktop or cloud-based app designed for specific purposes. Integrating with professional video hardware isn’t one of them.

Pro-grade video hardware or software may be able to import a PowerPoint file, but it doesn’t work the other way around: PowerPoint doesn’t do anything to integrate with the high-end video software or hardware tools you’re using for video. (Neither do any of the other dozen other basic presentation apps.)

But when you choose a high-end presentation solution like ProPresenter, you get this kind of pro-level integration, including the ability to format your presentation to look different on different screens. Maybe it’s full-screened to the in-house audience but appears as a lower third to your online audience.

If you’re using SDI or NDI protocols, and know what alpha channel is, you’ll have an easier time when you use a presentation tool that works in those worlds.

4. Cross-Platform Performance

AV booth using ProPresenter during a live event

Another angle is cross-platform performance. Some solutions lock you into either the PC/Windows or the Apple/Mac ecosystem, which isn’t ideal. Cloud presentation apps overcome this, but they need to stay lightweight to work, and don’t have key features.

Other apps offer surprisingly different experiences for Mac and PC. PowerPoint has a version for each, but if you operate within both ecosystems, you’ll find missing features or things that don’t work the same.

The best solutions on the market offer a true cross-platform experience, where the presentations you create on PC look the same on Mac , and the interfaces are identical so you can alternate between systems fluidly.

5. Streaming Built In

Mobile device live streaming an event

Live streaming is more important than it’s ever been for many professionals and venues using presentation software. Churches, businesses, schools and universities, and event spaces are all offering live streaming for virtual or hybrid events.

All of these experiences involve streaming live content over the web, and sometimes pulling those remote speakers into a live conversation.

You can set this up using separate video recording and streaming software. However, in some situations, a robust streaming solution is needed with minimal additional hardware or personnel.

ProPresenter is presentation software that does all of the above: you can pull in video content and send your live presentation out via streaming to your favorite streaming platforms . ProPresenter even includes support for Resi’s resilient streaming codec, giving you access to the world’s most resilient way to stream for can’t-fail events.

6. Remote Control Apps

Stream Deck device

As you look for the right presentation software for your needs, consider how you (or any other presenters you’re supporting) want to control a presentation.

There was a time when it felt cutting-edge for a speaker to control presentations from the stage using a simple clicker that advances or retreats through the slide deck. But those days are long gone.

Today’s best solutions offer remote control apps that allow any iOS or Android mobile device to serve as a smart remote. These are particularly useful for CEO-types who want to control their own presentation or speakers who need to bounce between random pictures as they talk. Control from an iPad can give them all the control they want, without compromising a presentation, and a live technician can still make sure it runs smoothly.

7. Live Video Inputs

Screenshot of ProPresenter interface

Broadcast professionals and event pros need a solution that can handle live video. Maybe a guest speaker is joining remotely via Skype or Zoom, and you need to be able to show them to the audience in the middle of a presentation.

But more than that, they need a solution that can handle multiple live video inputs . Whether you’re operating a multi-camera setup for specific stage looks and transitions, or you need to pull in multiple speakers or locations into a single broadcast or presentation, you need a tool that’s up for the job.

ProPresenter includes support for multiple videos and audio inputs and outputs. Even in the most demanding live events or broadcasting environments, ProPresenter keeps up with what you need to do. See our Guide to Using Zoom with ProPresenter for more details.

8. Powerful Slide Editor

presentation software advantages

The best presentation software makes it easy to create presentations that look fantastic. You want a solution with all the power you need to customize every single element deeply, but you also want a simple drag-and-drop slide editor that volunteers can use without hours upon hours of training.

Some unique features include visibility options, where content will only show when a countdown is showing, mirroring images across multiple displays, or scrolling text pulled in externally from an RSS feed.

ProPresenter is one of only a few market solutions giving you both the powerful customization you need and an intuitive easy editing interface.

9. Support for Live Changes

Video from AV booth during a live worship event. ProPresenter presentation software being used during worship service.

There’s no worse feeling than getting halfway through a presentation and discovering an embarrassing error. Maybe a missing slide or a typo changes the meaning completely. Maybe it’s the wrong song, or a chart showing company numbers. Maybe the video is missing.

Whatever happened, it’s crunch time, the presentation is going, and you need to fix it.

Most presentation software locks a file once it’s in presentation mode, so you can’t switch silently fix it. But when you choose a high-end solution like ProPresenter, you can do more.

ProPresenter doesn’t distinguish between “edit” and “present” modes, you can always edit content, even when the show is running. There are 3 ways to edit content: Quick Edit for typos, Reflow Editor for changing how the slides are broken up, and Editor for everything else.

Gaining the ability to make changes while a show is running is powerful. For some people, this feature alone justifies jumping to high-end presentation software. If you’re creating shows quickly and at high volume (like is the case for most houses of worship ), you want to be able to fix them too.

10. API for Advanced Integrations

presentation software advantages

An API allows developers to build integrations between software so they can talk to each other. The world is increasingly being built using Application Programming Interfaces, which is also an option for advanced software.

For example, the ability to have an emergency message flash on the screen during any presentation, a video slide can cause the lights to dim, the speaker’s countdown timer can be pulled into scheduling software, or a presentation software can be driven entirely by external show controls that trigger slides at specific times. All of this is possible with advanced presentation software. You have the ability to give audiences more than just a presentation, but a full experience.

If you’re not clear what presentation software is, and how it can help your productivity, you’re in the right place.

Understanding presentation software

Presentation software is a type of computer application software that is designed to help users create digital presentations, or slide shows, to convey information in a more engaging way. Most presentation software will come fully equipped with tools and features for creating and editing digital slides that can include text, images, audio, video, charts, graphs, and other multimedia elements. Some key functionalities to look for in presentation software include slide creation and organization, formatting and design options, multimedia integrations, animations and transitions, collaboration, and sharing capabilities.

Key features and functionalities

When you’re comparing different types of presentation software, these are the key features and functions that you should look for.

Slide creation and organization

It goes without saying, but the number one functionality of presentation software is slide creation. Whether you’re starting from scratch, or using a pre-built presentation or slide template, presentation software allows you to structure your thoughts in a way that makes sense. It also acts as a repository for old and new presentations so you can easily save and find what you need, when you need it.

Formatting and design options

One of the biggest challenges in the presentation creation process is deciding how to format your content without making a mess of the design. Many presentation softwares will handle that for you by offering design guardrails, drag-and-drop templates, and smart recommendations. The benefit of formatting and design options is that even non-designers have the tools they need to create something professional and on-brand.

Multimedia integration

A presentation without visual assets is a lot more likely to lose the audience. Presentation softwares will offer multimedia integration with images, videos, icons, and gifs. Every presentation software allows you to upload your own multimedia to your deck, but only select programs offer a free stock library to choose from.

Animations and transitions

The average attention span of humans is 8 seconds, which means an engaging deck is critical to your presentation. Presentation software makes it easier to hold the focus of your audience with animations and transitions. Many platforms offer features that allow you to choose the speed and transitions to which your content builds and progresses to the next slide.

Collaboration and sharing capabilities

The whole goal of presentation software is to make the design process more efficient, and a big part of that is collaborating with your team. Newer presentation software— especially web-based or SaaS presentations— will allow teams to work together on the same deck, under the same roof. Similarly, the same web platforms have more flexible sharing capabilities through shared links or embed codes.

Types of presentation software platforms

There are various types of presentation software platforms available, and the industry continues to expand and evolve with new technologies.

Traditional presentation

Traditional software refers to computer applications or programs that are typically used to create and deliver visual presentations. These programs are designed to allow users to create slideshows containing text, images, charts, graphs, and other visual aids.

Web-based or SaaS presentation

Web-based or SaaS (Software as a Service) presentation software refers to programs that are accessed through a web browser and do not need to be installed on a user's device. These programs are hosted on the cloud and can be accessed from any internet-connected device.

AI presentations

AI presentation software is a type of presentation software that uses artificial intelligence (AI) technology to help users create and design presentations. AI presentation software typically includes features such as automated design suggestions, layout recommendations and image recognition to streamline the presentation creation process.

Video presentation

Video presentation software is a type of software that allows users to create and deliver video presentations. These presentations can include a combination of video footage, images, text, and audio. Video presentation software typically includes features such as editing tools, visual effects, and transitions to help users create engaging and professional-looking presentations.

Nonlinear presentation

A nonlinear presentation is a type of presentation where the viewer can navigate the content in a non-sequential order, rather than proceeding from one slide to the next in a linear fashion. In a nonlinear presentation, the content is organized using hyperlinks or other interactive elements that allow the viewer to jump back and forth between different parts of the presentation, depending on their interests and needs.

Benefits of a dedicated presentation software platform

Using a specific presentation software for every business need helps teams stay consistent across all internal and client-facing decks.

Enhancing visual appeal and engagement

Presentation software— like Beautiful.ai— gives teams more control over the deck design which helps them maintain branding. By using the same presentation design software each time, you are ensuring consistency from deck to deck across each department.

Simplifying content creation and organization

Like any productivity tool, presentation software is all about simplifying the process. You’ve heard of rinse and repeat. By using the same platform for each company or team deck you can automate and recycle things like colors, fonts, logos, and even branded slides. On the same coin, if you’re creating every deck in the same platform, it acts as a library for all of your presentations, making it easy to organize and find existing content.

Facilitating effective communication

Communication is the backbone of any successful organization, so the ability to communicate effectively in the presentation design process is important. When the entire team is working in the same presentation software, it makes collaboration and communication more efficient and seamless. In Beautiful.ai, for example, teams can add comments and provide feedback in real-time to help eliminate any bottlenecks.

Enabling seamless sharing and collaboration

When you're working with a presentation software in the cloud, teams can simultaneously make edits or contributions to the same deck at the same time. Gone are the days of lengthy email chains sharing various revisions of the same deck. Presentation software allows you to share the most updated version and invite stakeholders or external partners to collaborate with you in the platform.

Tips for using presentation software effectively

Now you know what presentation software is, but how do you use it effectively to scale your business efforts? Keep these tips in mind for your next presentation.

Planning and structuring your presentation

Planning and structuring your presentation effectively is crucial for delivering a clear and organized message. You should think about how you want to format your story before you even open up a presentation software.

Six things to consider when planning your presentation anatomy;

  • The audience
  • Overarching message
  • Clear objectives
  • One key point for each slide
  • A strong call to action

Utilizing design principles and visual elements

Presentation softwares have design principles in place to help take on some of the burden of deck creation, and you should take advantage of that. Using a pre-built template can help you think of new ways to structure your presentation, while lending the ability to customize it where you see fit. As a good rule of thumb, less is more in presentations. Your design should be clean and professional, while keeping your company branding in mind.

Creating concise and impactful slides

With new technology, many presentation platforms (excluding PowerPoint) will actually limit how much you can add to each slide to help avoid Frankendeck situations. Creating clear, concise slides are more impactful than cluttered ones. Make sure to stick to one key point on each slide so that your audience knows exactly what you want them to pay attention to.

Using multimedia wisely

A picture is worth a thousand words. Your audience will likely remember the multimedia in your presentation over any bullet point or statistic, so choose your visual assets wisely. They should be relevant, high-quality, and on-brand, always. The multimedia is meant to complement your story and drive the point home.

Practicing and rehearsing

Presentation software and deck design is important, but so is your delivery. Don’t spend time crafting the perfect presentation deck only for your actual presentation of it to fall flat. Practice, practice, practice. And even when you think you’ve practiced enough, do a full dry-run one more time. This allows you to test the presentation software, the technology required for the meeting or conference, and the timing of any video or animations within the deck.

Understanding Presentation Software

In a world driven by communication and information sharing, the art of delivering impactful presentations holds a position of paramount importance. At the heart of this art lies presentation software – a digital tool that transcends traditional methods and empowers us to convey ideas with unprecedented dynamism and visual appeal.

Defining Presentation Software

The transformative role of presentation software.

Consider a scenario where you have an idea, a project update, or a proposal to communicate. The static nature of printed material or the monotony of monologue fails to capture the attention of your audience effectively. This is where presentation software steps in as a transformative tool. It enables you to craft a visually engaging narrative that not only imparts information but also resonates with your audience on an emotional level.

From Transparencies to Digital Brilliance

The journey of presentations has seen a remarkable evolution. Gone are the days of transparencies and overhead projectors. Presentation software has propelled us into an era of digital brilliance. It allows us to orchestrate a symphony of visual elements that complement and amplify our spoken words, leaving a lasting impression in the minds of our listeners.

The Fusion of Creativity and Utility

Presentation software doesn’t just streamline the process of designing slides; it fuses the realms of creativity and utility. It empowers users to leverage a plethora of features, from inserting captivating imagery to orchestrating seamless transitions between slides. This fusion is at the core of what makes presentations not just informative, but captivating and memorable.

Key Features of Presentation Software

1. creative slide composition, 2. multimedia integration.

Gone are the days of static presentations. With presentation software, you can seamlessly integrate multimedia elements like images, videos, and audio clips. This means you can show rather than just tell, making complex ideas comprehensible and memorable. A well-chosen image or a relevant video clip can illuminate your point in ways words alone cannot.

3. Templates and Themes

Consistency in design is a hallmark of professional presentations. Presentation software offers a range of templates and themes that provide a cohesive visual framework. You can choose a template that aligns with your message, and themes ensure that fonts, colors, and slide layouts remain consistent throughout your presentation, enhancing its visual appeal.

4. Transitions and Animations

5. collaboration and sharing.

In a world of remote work and global connectivity, collaboration is key. Presentation software allows multiple users to collaborate in real-time, making it possible to create presentations collectively, irrespective of geographical boundaries. Additionally, these platforms facilitate easy sharing, ensuring your presentation reaches its intended audience without the hassle of file compatibility issues.

6. Speaker Notes and Presenter Tools

7. data visualization, 8. mobility and accessibility.

Modern presentation software isn’t confined to desktops. Cloud-based solutions allow you to access and edit your presentations from any device with an internet connection. This mobility enhances your flexibility and ensures you’re always prepared to present, whether you’re in the office or on the go.

How Presentation Software Works

Now that we’ve explored the essence and features of presentation software, let’s take a peek behind the digital curtain and uncover how this dynamic tool brings your ideas to life in the form of captivating presentations.

The User Interface

Slides and content.

Your presentation takes shape as a series of slides, akin to the pages of a book. Each slide represents a chapter in your narrative. Begin by adding a slide, choosing from various layouts that suit your content – title slide, content slide, image slide, and more. The canvas of each slide is where you craft your message, adding text, images, videos, and graphics.

Formatting and Customization

Transitions and animations, slide arrangement and organization.

The sequence of slides is akin to the rhythm of a musical composition. You orchestrate this rhythm by arranging slides in a logical order that tells a compelling story. Presentation software allows you to effortlessly move, duplicate, or delete slides, ensuring your narrative flows smoothly from beginning to end. Think of it as arranging the chapters of your presentation novel.

Presenter Tools and Speaker Notes

Slide show mode.

When it’s time for the curtain to rise, you switch to slide show mode. This is where the magic happens. Your canvas transforms into a dynamic presentation that captivates your audience. Transitions glide seamlessly, animations unfold with precision, and your carefully crafted content takes center stage, engaging your viewers on a visual and intellectual level.

Benefits of Using Presentation Software

Navigating the realm of presentations, both in boardrooms and lecture halls, has been forever transformed by the advent of presentation software. Let’s uncover the multitude of advantages this digital tool brings to the table, empowering you to convey ideas with finesse, engagement, and efficiency.

Unlocking Efficiency in Communication

Visual appeal, dynamic content delivery.

Static presentations are a relic of the past. Presentation software lets you weave a dynamic narrative, using animations and transitions to guide your audience through your story. This dynamic element not only enhances engagement but also aids comprehension. Concepts come alive as you unveil content with well-timed animations, fostering a deeper connection between you and your audience.

Collaboration in the Cloud

The gift of consistency, easy sharing and accessibility.

Sending presentations as email attachments often led to compatibility issues. Presentation software resolves this with easy sharing options. Whether it’s through direct links, embed codes, or cloud storage, sharing your work becomes hassle-free. Your audience can access your presentation on various devices, enhancing convenience and widening your reach.

Iterative Refinement

Tips for creating effective presentations.

1. Start with a Story: Human beings are wired for stories. Begin your presentation with a compelling anecdote or relatable scenario that sets the stage for your message. Stories draw your audience in, creating an emotional connection and a sense of anticipation for what’s to come.

2. Keep It Concise: Brevity is the soul of wit, and in presentations, it’s the key to maintaining attention. Keep your content concise and focused. Each slide should convey a single idea or point. Use bullet points to distill information, ensuring your message is clear and easily digestible.

4. Embrace Minimalism: Less is often more in presentation design. Adopt a clean, uncluttered layout. Choose fonts that are easy to read and maintain consistency in font size and color. Embrace white space to allow your content to breathe and your audience to focus.

5. Engage with Eye Contact: Your audience seeks a connection with you. Make eye contact and engage with them. Address them directly, and use body language to underscore your points. Your presence and engagement build rapport, making your message more relatable.

7. Reinforce with Repetition:  Repetition aids memory. Reiterate key points throughout your presentation to reinforce your message. Summarize your main ideas at the beginning and end to drive home your key takeaways.

8. Practice, Practice, Practice: No one became a great presenter overnight. Practice your delivery multiple times. Familiarity with your content and pacing builds confidence and ensures a smooth, polished presentation.

10. Tailor to Your Audience: Understand your audience’s needs, interests, and familiarity with the topic. Tailor your content and examples to resonate with them. This personal touch enhances their connection to your message.

11. Rehearse Natural Gestures: Use gestures to emphasize points, but keep them natural. Avoid overrehearsed or robotic movements. Let your body language complement your spoken words.

Presenting with Presentation Software

The moment has arrived – you’re standing before your audience, armed with your presentation software and a compelling message. Let’s delve into the art of delivering your presentation with confidence, charisma, and the aid of technology.

1. Know Your Material Inside Out: Confidence stems from mastery. Thoroughly understand your content, allowing you to deliver it fluently and engage in spontaneous interactions. This knowledge forms the foundation of a confident presentation.

3. Make Eye Contact: Eyes are the windows to engagement. Maintain eye contact with your audience to forge a connection. Direct your attention evenly across the room, ensuring everyone feels included.

4. Leverage Speaker Notes: Speaker notes are your safety net. Use them to guide your flow and ensure you cover all key points. While it’s crucial not to read verbatim, these notes keep you on track and confident.

6. Engage with Your Audience: Engagement is a two-way street. Encourage questions, invite participation, and seek feedback. This interaction fosters a connection and transforms your presentation into a conversation.

8. Use Animations Thoughtfully: Animations add flair, but use them judiciously. Excessive animations can distract from your content. Employ animations to highlight key points or unveil content gradually.

9. Manage Technical Hiccups Gracefully:  Technology is unpredictable. Be prepared to handle technical glitches with poise. Familiarize yourself with troubleshooting options to swiftly address any unexpected issues.

10. Vary Your Delivery: Monotony can lead to disengagement. Vary your tone, pitch, and pace to emphasize different points. Incorporate anecdotes, humor, or emotional appeals to maintain audience interest.

12. Encourage Interaction at the End: Conclude with a call to action, a thought-provoking question, or an invitation for further discussion. An engaged audience at the end ensures your message resonates beyond the presentation.

Future Trends in Presentation Software

As we stand at the crossroads of technology and communication, the horizon of presentation software is illuminated by exciting possibilities. Let’s peer into the crystal ball and explore the trends that are poised to shape the future of this dynamic tool.

2. Enhanced Data Visualization: Data-driven presentations are about to get a makeover. Advanced data visualization tools will allow you to create interactive charts, graphs, and visualizations that respond to audience input, enabling real-time exploration of complex data sets.

5. Gesture and Voice Control: Navigating presentations will take a step into the future with gesture and voice control. Imagine advancing slides with a simple gesture or vocal command, leaving you free to engage with your audience without being tethered to a clicker.

7. Environmental Sustainability: As our consciousness of environmental impact grows, presentation software will likely incorporate features to reduce paper wastage. Digital tools will focus on minimizing carbon footprint, promoting eco-friendly presentations.

8. Holographic Presentations: Step onto the holographic stage of the future. Holographic presentations could project lifelike 3D images and animations, enabling presenters to interact with virtual objects in real space, ushering in a new dimension of engagement.

10. Multisensory Experiences: Technology is advancing to engage more senses. Expect presentations to integrate touch, scent, and even taste (where applicable) to create multisensory experiences that leave a lasting impression.

In the realm of modern communication, presentation software stands as a beacon of innovation, bridging the gap between ideas and impact. We list the best presentation software, to make it simple and easy to make and manage slideshow presentations to display to an audience.

Presentation software runs at the heart of business sales, management, and development, so it's important to ensure you have the best presentation software for your needs. This is especially when looking to share ideas, concepts, and workflows, and the ability to present these in a simple and understandable way is essential.

However, while presentation software has been traditionally limited to text and images, it has widened its ability to work with different media such as video and audio.

Therefore it's important for the best presentation software to not simply be easy and simple to use, but also be able to support additional media so that presentations can be more engaging, lively, and ultimately serve their purpose in educating and updating their intended audience.

Below we've listed the best presentation software currently on the market.

We've also listed the best free presentation software .

The best office software in the world is: Microsoft 365

Best presentation software overall

1. PowerPoint

Our expert review:

Reasons to buy

For most people, Microsoft 's PowerPoint remains the original and best of all the presentation software platforms out there. While other companies have managed to catch up and offer rival products worthy of consideration, the fact is that PowerPoint's familiar interface and ubiquitous availability means it remains a favorite for the majority of people.

On the one hand, it's long been a staple of the hugely popular Microsoft Office suite, meaning that for most users this is going to be the first - and last - presentation software they are going to need to use.

Additionally, Microsoft has made PowerPoint, along with their other office products, available as free apps (with limited functionality) on both iOS and Android for mobile use, meaning it's even harder to avoid them. And this is before we even consider the inclusion of PowerPoint in Microsoft's cloud-based Microsoft 365.

It does everything necessary that you'd expect of presentation software, allowing you to add text and media to a series of slides, to accompany a talk and other presentations. There are easy-to-use templates included to help spice things up a little, but even a general user with little experience of it is likely to find themselves able to use PowerPoint without much trouble at all.

Overall, it's hard to go wrong with PowerPoint, and although Microsoft 365 has a nominal cost, the apps are free to use even if they do have more limited functionality.

Best presentation software for media

Reasons to avoid.

It’s all too easy to end up creating a presentation that’s unappealing, and the last thing you want to do is make the audience fall asleep. SlideDog lets you combine almost any type of media to create a rich presentation that’s sure to keep the viewers’ peepers open, avoiding the ‘cookie cutter’ look that makes presentations seem dull.

Marketed as a web-based multimedia presentation tool, it gives you the ability to combine PowerPoint presentations, graphics, PDF files, Prezi presentations, web pages, pictures, videos, and movie clips. You can drag these into custom playlists and display them to your audience with ease.

You’re able to remotely control your presentations and playlists from your smartphone, the web, or a secondary computer, and there’s also the option to share slides in real-time. Audience members can even view your slide from their own devices by clicking a link. That’s a handy feature if you’re looking to create an immersive presentation experience.

SlideDog is probably the cheapest of the presentation software featured, with a free account that will cover the essential features. However, for live sharing and premium support, you need to upgrade.

Best unique presentation software

Prezi website screenshot

Prezi is one of the more unique presentation tools. Instead of presenting your graphics and text in a slide-to-slide format, you can create highly visual and interactive presentation canvases with the goal of “emphasizing the relationship between the ideas”.

Presentations can also be tailored to the specific audience, as this is a flexible platform that’s capable of skipping ahead, or veering off into a side topic, without having to flip through all the slides to get to a particular bit.

For business users, there are a variety of handy tools available. By downloading Prezi , you can build and edit presentations with your colleagues in real-time, which is perfect for companies with teams based around the globe.

When you have created a presentation you’re happy with, you can present it live (in HD) and send a direct link to viewers. There are some analysis tools here, too – you can see who’s accessed your presentation, which parts of it, and for how long. The app is available for Mac and Windows devices.

Best presentation software for branding

CustomShow website screenshot

4. CustomShow

Branding says a lot about a business, and it’s something firms need to get right from day one – from a good logo to a suitable font. CustomShow is business presentation software that puts all these elements of branding first.

Using the system, you can design and present customized, branded presentations that reflect your company and the products you offer, featuring the aforementioned logo and custom fonts. As well as this, you get a slide library and analytics to ensure your presentations are a success.

What’s more, you can import presentations into the software, and use it to tweak them further. There’s also integration with SalesForce , and because the platform is cloud-based, you can access your presentations on computers, tablets, and smartphones.

Considering the focus on branding, this offering could be good for marketing and sales teams, and it's used by major companies such as HBO and CBS Interactive.

Best presentation software for marketing

ClearSlide website screenshot

5. ClearSlide

Just like CustomShow, ClearSlide has a niche focus for companies. The platform is targeted at firms looking to generate successful marketing campaigns, pushing sales via presentations (and more), not least through a range of analytics and metrics to work for sales and marketing.

With the product, you can upload a range of files, including PowerPoint, Keynote, PDF, and Excel. ClearSlide is integrated with other platforms, including Google Drive, Dropbox, and Salesforce.

This system is pretty complex and may offer too many irrelevant features for some businesses, but you can create customized content that reflects your company and the message you’re trying to get out to customers. There are also some good metrics and analysis features, and you can sign up for a free trial before making any decisions.

The real strength of ClearSlide comes from its focus on sales and marketing data, not least being able to track user engagement alongside other metrics.

Best presentation software for themes

Haiku Deck website screenshot

6. Haiku Deck

Any presentation app will allow you to personalize your slides to at least some extent, but Haiku Deck goes one step further than the competition. It comes with a wide range of themes suited to different needs, and you also get access to 40 million free images from the Creative Commons collection.

When it comes to creating a presentation, you have the option to do so on the web, which means your presentation is accessible across a range of mobile devices as well as desktops. Regardless of the device used, you’re able to select from a variety of different fonts, layouts, and filters to make the perfect presentation.

The great thing about these various customization options is that they’re categorized into different industries and use cases. For instance, you’ll find themes for teaching, cooking, real estate, and startups. Most of the features require you to be online, but hopefully, you’ll have a sturdy net connection wherever you go.

Other presentation software to consider

Google Slides  is part of the Google Workspace (formerly G Suite) office platform intended as an online alternative to Microsoft Office. It may seem a little limited by comparison to PowerPoint, but as it's browser-based that means cross-platform compatibility. Additionally, it allows for collaborative work, and Google Slides really works well here. On top of the fact that it integrates with the rest of the Google Workspace apps, not least Google Drive, and you have a contender.

Zoho Show  is another of the many, many tools and apps that Zoho has made available for business use. It also operates in the cloud so it's accessible to any device with a browser, and it also allows for collaborative work. You can also easily share the link for users to download, or provide a live presentation online. The updated version has a simpler and easier to use interface and comes with a free version and a paid-for one with expanded features.

Evernote  is normally thought of as just note-taking software, but it does provide the option to create a presentation you can share online or with an audience. In that regard, it's a little more limited than the other options in not being dedicated presentation software. However, as an easy and handy way to pull together a presentation quickly, it could serve as a backup or last-minute option, especially if Evernote is already being commonly used by you.

LibreOffice Impress  is part of the open-source suite offered as a free alternative to Microsoft Office, and comes with a powerful array of tools and editing options for your presentation, not least working with 3D images. It's supported by a large community, so it's easy to find an array of additional templates. If there is a limitation it's that it's software you download and install rather than web-based, but any presentations created should be easily portable to the web if needed.

Adobe Spark  does things a bit differently, as rather than just use images it's geared toward video as well. This makes for potentially more powerful multimedia presentations, especially as Adobe also has a big selection of photos and images available for its users. There is a free tier for core features but requires a subscription for custom branding, personalized themes, and support.

Slides  comes with a lot of features in an easy-to-use interface, and involves setting up presentations using drag and drop into an existing grid. It's also internet-based so there's no software to download, and it only requires a browser to use and access.

Presentation software FAQs

Which presentation software is best for you.

When deciding which presentation software to download and use, first consider what your actual needs are, as sometimes free platforms may only provide basic options, so if you need to use advanced tools you may find a paid platform is much more worthwhile. Additionally, free and budget software options can sometimes prove limited when it comes to the variety of tools available, while higher-end software can really cater for every need, so do ensure you have a good idea of which features you think you may require for your presentation needs.

How we tested the best presentation software

To test for the best presentation software we first set up an account with the relevant software platform, whether as a download or as an online service. • Learning to use PowerPoint’s features and tools can be complex for some users.
  • PowerPoint may have performance issues on less powerful computers.
  • Compared to alternatives, PowerPoint can be relatively pricey if purchased outright.

Advantages Of PowerPoint

Microsoft PowerPoint is an excellent tool for presentations and more. Here are some of its key advantages:

PowerPoint is available for both Windows and macOS , as well as for mobile devices running iOS and Android. This makes it a convenient tool for creating presentations, regardless of what type of device you are using. You can also use PowerPoint for the Web in a web browser, making it even more accessible. Not a lot of presentation software offers such flexibility.

PowerPoint is the most feature-rich presentation software out there. It has everything you need to create a professional-looking presentation, including built-in templates, themes, and much more. Other presentation software simply cannot compete with PowerPoint in this regard.

PowerPoint is the most widely used presentation software, and it’s the industry standard tool for preparing presentations. People are generally familiar with how PowerPoint works, which makes it easy to use when giving presentations. It is also the most compatible presentation software , meaning that it can be opened and viewed on just about any device.

PowerPoint comes with a variety of built-in themes and templates that you can use to make your presentation look more professional. If you’re not a design expert, these templates can be a lifesaver. With just a few clicks, you can make your presentation look great without spending hours on design.

The interface of PowerPoint is also quite versatile. You can easily access all the needed features by using the toolbar options. Its interface is also customizable , so you can change it to suit your needs better.

PowerPoint is relatively easy to use , even if you’ve never used it before. Of course, it takes some time to learn all the features and how to use them effectively. However, you should be able to start creating basic presentations without much trouble.

You can open and edit presentations saved in various formats with PowerPoint. Some of the supported formats include pptx, ppt, gif, mp4, jpeg , and more. This is a convenient feature if you need to import or export presentations in variable programs. Other presentation software supports only a limited number of formats.

PowerPoint also integrates smoothly with other Microsoft Office programs, such as Word and Excel. This makes it easy to create presentations that include data from other Office programs. Moreover, PowerPoint files are supported by most online storage services, such as Google Drive and Dropbox, for seamless sharing.

PowerPoint also supports add-ins , which are small programs that add additional features to the software. There are a large number of add-ins available for PowerPoint that you can use to customize your presentations further.

The Review feature in PowerPoint allows you to compare two presentations side-by-side . This is a handy feature if you need to spot the differences between two versions of a presentation. It’s especially useful when you want to review the changes to your presentation made by someone else.

PowerPoint makes it relatively easy to collaborate with others on a presentation. You can easily share your presentation with others and allow them to view it or make changes by sharing a link. This is a convenient feature if you are working on a team project.

PowerPoint is also available in a mobile version , which allows you to create and edit presentations on the go. You can download the PowerPoint app for free from the App Store or Google Play to use on iOS or Android devices. This is a handy feature if you need to make last-minute changes to your presentation.

One of the features of the PowerPoint software that most users find useful is the password protection feature. This allows you to set a password for your presentation so that only those who know the password can open and view it. Most other presentation software does not include this component.

Disadvantages of PowerPoint

Now that we’ve looked at the advantages of PowerPoint, let’s take a look at some of its disadvantages:

It’s been around three decades since PowerPoint was first released, and in that time, it hasn’t seen a whole lot of innovation. This lack of innovation can make it feel dated compared to some of the newer presentation software options on the market. Some users find PowerPoint slides boring, as there is not much scope to create creative or interactive presentations.

The features and tools of PowerPoint can be a bit complex to learn , especially if you’ve never used the software before. It can take some time to get a grasp on how to use all the features effectively. And if you want to create more complex presentations, it may take even longer.

PowerPoint can also have some performance issues, especially on weak systems. The software can be a bit resource-intensive, so it may run slowly on older computers . Additionally, large or complex presentations may take longer to load and may not run as smoothly as you’d like.

If you want to purchase PowerPoint outright, it’s relatively expensive compared to some of the other presentation software options on the market. Google Slides offers many of the same features as PowerPoint, but it’s free to use.

PowerPoint is a widely used presentation software that is available for all major operating systems. It offers a large number of features and is widely accepted.  However, it can be a bit complex to learn and is relatively expensive. Despite these disadvantages, PowerPoint is still a popular choice for creating presentations.

The 11 Best Presentation Software to Use in 2024

best presentation software to use in 2024, presentation software list

The ability to effectively share ideas, illustrate a concept, and convince an audience is invaluable whether you’re a student or a C-level executive. These days, the presentation software you use to create presentations is just as important as your public-speaking skills.

On top of that, most companies have transitioned to remote work recently due to the current coronavirus situation, and now need to share their stories online through a virtual conference room with their distributed teams and external audience members.

That’s why we’ve come up with a list of some of the best presentation software available right now, so you can choose a compatible and innovative presentation maker that includes the best presentation tools to suit your specific needs.

Choose the best presentation software by weighing the pros and cons

You’ll see some of the most popular presentation apps: from free to paid subscription platforms, and slideshow applications to full-blown visual design presentation software with interactive features and more.

Each presentation software has its pros and cons, so it’s up to you to figure out which suits your needs best; consider the software learning curve, whether your company is made up of Mac users or Windows users and the software compatibility, if you need an enterprise account or free account, etc.

Let’s dive in!

1. Piktochart

presentation software piktochart, best presentation software

Piktochart is a presentation software that can create a variety of design visuals, from infographics to social media stories.

An area in which Piktochart shines is crafting unique presentations.

On Piktochart, users can choose from a wide range of professionally-designed presentation templates .

These custom templates include everything from monthly marketing reports to employee onboarding templates.

This broad selection of customizable templates is especially useful for those who don’t have much design experience or know-how but need to create a visually stunning unique presentation in a pinch.

Piktochart’s presentation maker also makes it easy to edit presentations and include design elements such as lists, timelines, comparisons, graphs, and different types of charts through drag-and-drop tools.

You can even make visual maps and interactive charts to keep your audience engaged throughout your presentation.

And if your company uses a Piktochart TEAM plan , you can enjoy the platform’s ability to store brand assets , color schemes, and bespoke templates. Here, replicating company-branded visuals is a breeze.

Piktochart comes with a free version but with certain limitations. Active visuals are capped at five per month and published visuals have a Piktochart watermark.

If you want features such as team template collaboration, project sharing, and annotated commenting, you’ll have to get a Team account. To sum it up:

  • Lots of professionally-designed templates
  • Good for both design professionals and non-professionals
  • Easy to store brand assets and bespoke templates for future presentations
  • Access presentation tools from anywhere via a web browser
  • Free presentation app version available
  • Might take some getting used to if you’re used to PowerPoint presentations

2. Microsoft PowerPoint

microsoft powerpoint, powerpoint presentation

Microsoft PowerPoint is often the first presentation software that comes to mind.

Once considered the “O.G.” and best presentation software available, it is still widely used and has a familiar interface—which means most users are comfortable with it.

This presentation app has everything you need to create a presentation: from animated transitions for interactive presentations to pre-installed fonts and graphic elements.

Users can also upload their own fonts, graphics, and images into their finished presentation.

Lastly, it’s available as part of the Microsoft Office software package; and you can work on your presentations via the web and mobile devices, for offline viewing as well as online.

However, PowerPoint is no longer considered the best presentation software, as it has very few templates to choose from, and these tend to fall quite flat compared to modern apps and software.

It’s easy to fall back into boring slideshow PowerPoint files if you don’t know what you’re doing.

And because most people use PowerPoint, you’re likely using the same template as the next guy.

As standalone presentation software, PowerPoint is pricey at US$139.99—and accessible through only one device unless you upgrade your package.

And while PowerPoint is primarily a slideshow application and presentation maker, its strengths are limited to this category.

So if you’re looking for the best presentation software, and bang for your buck for a robust presentation tool, you might want to look elsewhere.

  • Market leader in slideshow applications to create slides
  • Widely used and familiar interface for the presentation process
  • Reliable and usable on most devices as well as being a desktop app
  • Flat templates
  • Limitations with its standalone-presentation software price

3. Google Slides

google slides, presentation software example

Google Slides is a slideshow application that is very similar to PowerPoint.  But there are three main differences: it’s fully online (while also allowing for offline viewing), collaborative, and free.

The great thing about Google Slides (besides the fact that it’s completely free for anyone with a Google account) is that you can log on via your browser or through its official app.

You can access all Google Slides presentations from any device (mobile, tablet, and desktop), and share them with other people so you can collaborate in real-time.

Google Drive allows all your presentations to live on the cloud, accessible to all marketing and sales teams, with unparalleled ease of use.

And there’s no need to worry about disruptions as all changes are saved as they happen, as long as you have an active internet connection.

Additionally, anyone familiar with PowerPoint will be comfortable using Google’s iteration and likely be delighted by Google Drive and the slide library available.

It’s also a lot simpler, so even those new to presentation-making will find it easy to navigate.

However, some might find Google Slides too simple as it lacks the wealth of features available on PowerPoint.

These include embedding videos from sources other than YouTube, plus adding audio tracks and sound effects, limiting the ability to create unique interactive presentations.

Some users also encounter issues with downloading and exporting to different formats, including PowerPoint.

Some slides may even turn out completely different from the original version.

All in all, Google Slides is a great option for those who are looking for a free application and only need to create simple presentations.

  • The free plan supports professional presentations
  • Web-based and collaborative to create presentations
  • Simple and familiar interface for an online presentation software
  • Too simple for advanced presentation making
  • Difficult to export to other formats
  • Limited templates and customization options for interactive content

keynote, keynote presentations

You could say Keynote is Apple’s version of PowerPoint. It’s also a slideshow application—but in typical Apple fashion, it comes with a sleek, minimalist interface and is considered one of the best presentation apps on the market.

There are 30 different themes to choose from, which serve as templates for those who need a quick fix. And it can do most of what PowerPoint can.

Keynote’s main perk is that it’s part of the Apple ecosystem.

That means it has built-in iCloud and Apple Watch support so users can control their presentation from their mobile device or even their wrists with just a click.

This presentation app comes pre-installed on most Mac devices. Otherwise, you can purchase it from the Apple store for just US$9.99 for mobile and US$19.99 for OS X.

The big downside is that Keynote is exclusive to Mac OS.

Non-Apple users can create, upload, and sync their own Keynote presentations through their iCloud Drive, but this presentation app is only truly helpful only for those who use multiple Apple devices.

And if you’re used to working on PowerPoint, you might find Keynote a bit confusing in the beginning, especially when editing presentations.

  • Sleek, minimalist interface
  • Free with most Apple devices
  • No access for PC and Android devices except through iCloud

5. SlideDog

Sliding away from straightforward slideshow applications and other presentation apps, SlideDog is a web-based multimedia presentation tool that lets users combine different types of media to create and edit presentations.

This includes everything from PowerPoint decks to videos and even PDFs that can all be played side by side without any awkward transitions.

It’s also extremely easy to customize a SlideDog presentation.

You just need to upload the files into the SlideDog web browser application, and then drag and drop them according to the order in which you want them to play.

You can control your presentations and playlists from another device, and audience members can view your slideshow on their devices by clicking a link.

SlideDog has a free presentation app version that provides all of the basic features.

However, live sharing and premium support are only available with a Pro account that costs US$99 per year, and not via the free version alone.

While SlideDog is technically considered presentation software, you can’t actually create presentations on it.

You can simply stitch together different pre-made presentations in various formats into what is essentially a playlist.

Lastly, SlideDog supports only Windows devices, so Apple and Linux users can’t use it.

  • Supports a lot of different media
  • Provides live-sharing
  • More dynamic compared to the usual slideshow presentation
  • Only collates media; doesn’t create them

6. Haiku Deck

haiku deck, presentation software example

Ever come across presentations with size-eight fonts and blocks of indecipherable paragraphs on each slide?

You can avoid such an unfortunate scenario with Haiku Deck.

HaikuDeck is a web and mobile application that favors images over text.

It works by limiting the number of words users can put on each slide, and allowing them to search for images on their platform related to the slide’s main idea.

This makes it ideal for those who want to simplify their thoughts and let the images do all the talking.

Users have over 40 million royalty-free photos to choose from, plus dozens of simple slide layouts on the platform itself.

While this certainly simplifies the process of creating a visually rich presentation, it can be limiting for those who need to include more information into their slides.

It’s a great option for someone giving a TED Talk, for example.

But for others who need to pass on more facts and figures, having a built-in word limit might be too restrictive.

  • Simple and easy to use
  • Access to millions of royalty-free stock images
  • May be too simple for some
  • No Android support
  • Limited features

7. Prezi Business

prezi business, business presentation software

Among the other presentation software on this list, Prezi Business might be one of the most unique presentation tools.

Rather than offering a regular slideshow format, Prezi looks more like a 3D interactive mind map where viewers jump dynamically from one idea to the next.

You can zoom in on one “slide” and then zoom out for the next.

Prezi has over 100 templates to choose from and comes with a very simple interface and a drag-and-drop style of editing.

It’s compatible with both Mac and PC desktops as well as smartphones.

It’s also similar to a regular PowerPoint deck in that you can jump back and forth from one “slide” to the next.

And like SlideDog, you can send viewers the link to the presentation as you’re presenting.

Also, up to 10 people can work on a Prezi presentation at the same time, one of its main selling points.

This is great for collaboration, but having so many hands-on deck at once can get messy.

  • Dynamic and immersive presentations
  • Highly visual
  • Easy to use
  • May not be appropriate for all types of presentations

screenshot of ludus presentation software

In a world of slides and presentations, standing out is the key. Ludus brings the flair of graphic design into the world of presentations.

At its core, Ludus is the bridge between presentation tools and design software. It enables users to infuse their slides with the kind of design elements you’d typically find in advanced design platforms.

Not only can you import assets from design giants like Adobe, but its seamless integration with tools like Unsplash and Giphy makes sourcing visuals a breeze.

It’s a fairly affordable tool for all its features compared to the other paid options in this list, as users pay 12.49 euros monthly (if billed annually).

However, while Ludus’ robust design capabilities can elevate the look of your presentation, those unfamiliar with design tools might find there’s a learning curve.

  • Merges presentation creation with advanced design tools.
  • Seamless integration with popular design platforms and visual databases.
  • Offers a unique edge in presentation aesthetics.
  • Might be a tad overwhelming for non-designers
  • Can have a steeper learning curve for those used to more straightforward platforms

9. Slidebean

screenshot of slidebean presentation software

Crafting a compelling presentation demands not only compelling content but also a design that can captivate your audience. Enter Slidebean.

Slidebean offers an intelligent design solution, using AI to transform raw content into professionally styled presentations. This platform streamlines the design process, allowing you to focus on the message rather than fretting over aesthetics.

The basic plan is free and allows you to create a presentation. But if you want to share or download your presentations, as well as unlock the full suite of features, you’ll need to sign up for the All-Access plan priced at $199 per year.

While it provides a quick and efficient method to produce polished slides, it also offers features for sharing, collaboration, and viewer analytics, adding an edge to your presentation strategy.

However, for professionals who prioritize granular design control, the automated design might feel limiting at times.

  • AI-driven design ensures visually appealing presentations.
  • Features for collaboration and viewer insights.
  • Efficient design process reduces time and effort.
  • Might not offer the detailed design customization some users desire.
  • Automated choices may not always align with specific branding or style preferences.

10. ClearSlide

screenshot of clearslide presentation software

Having great visuals to drive your point home can be the difference between getting a sale across the line or customers walking away. ClearSlide stands out in this area as a presentation tool for businesses laser-focused on boosting their sales and marketing game.

At its core, ClearSlide is all about leveling up business presentations. Whether you’re marketing a new product or tracking client engagement, it’s got tools that cater to every need.

Whether it’s a PowerPoint, a PDF, or something from Google Drive or Dropbox, ClearSlide makes it simple to upload and work with these files.

The unique edge? ClearSlide’s virtual meeting space pops open with just a click. It’s all about seamless, professional presentations without the hassle.

Beyond just slides, the platform dives deep into metrics and analytics, ensuring every presentation is backed by data-driven insights. And the tool is available for $35 per month, which isn’t too pricey for medium-sized businesses.

However, its complexity isn’t for everyone. For some, the variety of features might seem a tad overwhelming, and its focus on metrics might be a bit much for those just wanting a basic presentation tool.

  • Seamless virtual meetings and presentations
  • Integrates with popular platforms
  • Offers insightful analytics for sales and marketing
  • Might feel complex for some users
  • Limited transition and design effects
  • Mobile experience could be better

screenshot of vyond presentation software

Stepping into the world of animation, Vyond, once known as GoAnimate, allows users to turn their narratives into professional animated videos. For those looking to elevate their content without diving deep into animation complexities, Vyond can be the go-to tool.

This platform is more than just drag-and-drop animations. It integrates AI capabilities with Vyond Go, which transforms text prompts into rough-cut videos.

Fancy a quick draft for your upcoming project? This AI assistant is up for the task. And if perfection is your game, take it to Vyond Studio, filled with an array of characters, templates, and backgrounds.

The Essential Plan at $25 per month is suitable for individuals on a budget. However, if you want to export videos at 1080p and above, have collaboration tools, or different export options, you’ll need to sign up for the Professional Plan at $92 per month.

As robust as the tool is, there are still some kinks to iron out. AI voiceovers might still need some tweaks, and detailed color customizations can be a bit tricky, but the tool’s strengths, especially for businesses, are undeniable.

  • Hassle-free video creation for beginners to experts
  • Generous library of pre-made assets
  • AI-powered video and script creation with Vyond Go
  • AI voiceovers might feel a bit robotic
  • Some customization limitations for specific props and scenes

The best presentation software is…

 …completely up to you!

When it comes to presentation software, the world is your oyster.

Each of these tools either has a free or trial version for you to check out, so you don’t have to commit just yet.

When it’s time to choose, consider the following aspects to find the right presentation software for you:

  • Ease of use. Is it easy for you to understand or will it require lots of training before you can start creating presentations?
  • Accessibility. Can you access your presentation software from any device or are you limited to carrying your laptop to every presentation?
  • Real-time collaboration. Can multiple people work on the same project or do you have to keep downloading and emailing drafts?
  • Create design tools. Can you create presentations with dynamic design elements or are you stuck with the same kind of slide each time?
  • Template availability. Is this tool only accessible to a design professional or can anyone create stunning presentations through pre-designed and updated templates?
Piktochart , for example, would be a fantastic presentation software choice among the long list of PowerPoint alternatives for teams looking for a variety of eye-catching designs without requiring much technical know-how. Meanwhile, Microsoft PowerPoint might be the best presentation software for those who are just looking to play it safe.

Hopefully, this best presentation software list sheds some light on the tools at your disposal. Choose wisely!

In the modern era of information and technology, presentation software has become an indispensable tool for professionals, educators, and businesses alike. From PowerPoint to Keynote, Prezi to Google Slides, the variety of available presentation tools is as diverse as the presentations they help create. This comprehensive guide explores the key features of the best presentation software, including templates, animations, pricing, and more, catering to platforms like Mac, iOS, Android, and Windows.

Originally dominated by Microsoft PowerPoint, the landscape of presentation software has evolved dramatically. PowerPoint remains a powerhouse with its wide array of customizable templates, extensive font options, and user-friendly interface. However, alternatives like Apple Keynote, known for its sleek design and smooth transitions, and Google Slides, favored for its real-time collaboration features, have broadened the horizon for users seeking diversity.

Cutting-Edge Features

Customizable templates are the backbone of any presentation software. They provide a starting point for users to create engaging and professional presentations. Tools like Slidebean and Beautiful.ai offer stunning presentation templates that cater to various needs, from business pitch decks to educational infographics.

To add dynamism to presentations, software like PowerPoint and Keynote offer a range of animations and transitions. These features, when used smartly, can transform a standard slideshow into an engaging story.

Real-time collaboration has become a necessity. Google Slides and Zoho Show excel in this area, allowing multiple users to work on a presentation simultaneously. Cloud-based storage further enhances this, enabling access to presentations from any device, be it a PC, iPad, or iPhone.

Interactive presentations that include multimedia elements like videos, graphs, and data visualization are now easier to create. Prezi is renowned for its zoom functionality and non-linear presentation style, which makes it ideal for interactive presentations. Visme and Haiku Deck also offer impressive tools for integrating multimedia content.

Artificial intelligence has made significant inroads in presentation software. Tools like Beautiful.ai use AI to assist in presentation design, ensuring that layouts and color schemes are aesthetically pleasing. Data visualization, an essential aspect of modern presentations, is made more accessible through software like Visme, which offers advanced graph and chart tools.

Accessibility and Compatibility

The best presentation software offers cross-platform functionality. Whether you're working on a Mac, a Windows PC, an Android device, or using iOS, these tools ensure seamless compatibility and ease of use. PowerPoint, Keynote, and Google Slides, for instance, are available across multiple platforms, ensuring that users can work on their presentations regardless of the device they use.

The rise of mobile devices has led to a demand for presentation apps that work seamlessly on smartphones and tablets. Keynote for iOS, PowerPoint for Android, and other apps have been optimized for mobile use, allowing users to create, edit, and view presentations on the go.

Offline access is crucial for users who need to work on presentations without an internet connection. Many presentation tools offer offline functionality, allowing users to save and edit presentations without being online.

Pricing and Plans

Most presentation software offers a range of pricing options, from free versions with basic functionality to paid pro plans with advanced features. While the free plan of Google Slides might be sufficient for casual users, professional teams might opt for the advanced features of paid versions of PowerPoint or Prezi.

Subscription models are common, with many tools offering monthly or annual plans. This pricing strategy allows users to choose a plan that best suits their needs and budget.

Specialized Use Cases

Presentation software is not just for creating slideshows. Sales teams often use these tools to create compelling sales pitches and presentations. Webinar hosts leverage the interactivity and video presentation features to engage with their audience effectively.

With the rise of social media, the ability to embed presentations or share them directly on platforms like Facebook and Twitter has become important. Tools like Slidebean and Haiku Deck offer features that cater to this need.

For professional presentations, software like PowerPoint and Keynote offers a range of features to create a polished and effective presentation. In academia, tools like Prezi and Visme are popular for their ability to create visually engaging and informative presentations.

Presentation software has come a long way, evolving from simple slideshow creation tools to sophisticated platforms capable of producing highly interactive and visually stunning presentations. Whether you're a professional looking to deliver a compelling pitch deck, a teacher aiming to create an informative lecture, or a student presenting a project, the right presentation software can make a significant difference. With the wide range of features, pricing options, and compatibility across devices, choosing the right presentation tool can elevate your presentation game to the next level.

What is Interactive Presentation Software?

In the simplest terms, interactive presentation software provides tools to build content that your audience can interact with.

Before, giving a presentation was a one-way process: the speaker would talk and the audience would listen.

Now, with the advancement of technology, presentations have become a two-way conversation between the audience and the speaker. Interactive presentation software has helped presenters to gauge audience understanding and adjust their content accordingly.

For instance, during a business conference, the speaker can use live polls or an audience response feature to gather real-time feedback on certain topics. Aside from getting the participants involved in the discussion, this also allows the presenter to address any concerns or questions.

What are some highlights of using interactive features in presentations?

  • Suitable for all group sizes, from small groups to a large hall of people
  • Suitable for both live and virtual events
  • The participants are given the opportunity to share their thoughts through polls, live Q&A , or make use of open-ended questions
  • Information, data, and content are displayed with multimedia elements, such as images, animations, videos, charts, etc.
  • There’s no limit to how creative speakers can be — they can customize the presentation to make it more appealing and attention-grabbing!

6 Key Features a Presentation Software Must Have

The current interactive presentation software on the market will all have basic features: customizable, shareable, equipped with a built-in library of template slides, and cloud-based.

  • And why not make your presentations more vibrant with the wide range of image options in the built-in library, along with the choice to embed audio and add more fonts (aside from the multiple fonts available)?

#2 – Quizzes & Games – Features Of Presentation Software

What better way to start a presentation than with a game? Presentations never sounded entertaining; in fact, it connotes a boring and monotonous experience for many.

Kick-start the session with an interactive activity to instantly grab your audience's attention and create a sense of excitement. This not only sets a positive tone for the rest of your presentation but also helps to break the ice and establish a connection with your audience.

AhaSlides has free audience engagement features that will up your game! Build audience rapport with AhaSlides’ live quiz games .

  • AhaSlides champions interactivity through its various quiz types. It also allows team play , where a group of participants can compete against each other. • Add a countdown timer or time limit according to each question to make the game more thrilling.
  • There is real-time scoring and after the game, a leaderboard appears to give details of each person or team’s scores.
  • In addition, you can moderate the full list of answers provided by the participants and manually select the ones you want to accept.

#3 – Polling – Features Of Presentation Software

Knowing the audience’s expectations and preferences will enable the presenter to effectively adjust the content and delivery of the presentation. This can be done through live polls , scales , word clouds, and idea-sharing slides .

Moreover, the opinions and ideas obtained through polling are also:

  • Super intuitive. Plus, you can display the poll results with a bar chart, donut chart, pie chart, or multiple comments in the form of sliding scales .
  • Great in stimulating creativity and increasing the audience response rate. Through Word Cloud Tools and other engaging tools, your audience will brainstorm together and bring you unexpected, valuable insights.
  • Convenient for the audience. They can get tracking results right on their phone.

Alternatively, you can choose to show or hide the results . It’s okay to keep a little secret for the audience to suspense until the last minute, isn’t it?

#4 – Q&A – Features Of Presentation Software

presentation software advantages

Since modern presentations focus on getting the audience involved, a Question & Answer portion is a smart way to keep them on track.

AhaSlides offers a built-in Q&A feature that allows participants to ask questions directly from their devices, eliminating the need for hand-raising or interruptions. This ensures a smooth flow of communication and encourages active participation from the audience.

What does AhaSlides’ live Q&A do?

  • Saves time by viewing questions in an orderly table. Speakers will know which questions to address first (like the most recent or popular queries). Users can save the questions as answered or pin them for later use.
  • Participants can vote for the inquiries they feel need to be answered right away while the Q&A is ongoing.
  • Users have full control in approving which questions will be shown or neglected. Inappropriate questions and profanity are automatically filtered as well.

#6 – Audience Experience – Features Of Presentation Software

presentation software advantages

The real essence of an interactive presentation is to make the audience feel like active participants rather than passive observers. As a result, the listeners feel more connected to the presentation and are more likely to retain the information shared. Ultimately, this interactive approach transforms a traditional presentation into a collaborative and enriching experience for everyone involved.

Your audience is your most important asset when delivering a presentation. Let AhaSlides help you give a successful presentation that will resonate with them long after it’s over.

  • Participants can share their quiz scores with a simple tap, or react to all of your slides with 5 colorful emojis. Just like Facebook!

#7 - Bonus: After the Event

presentation software advantages

The best way to be a good speaker or presenter is to learn a lesson or paint yourself an overview of each presentation.

Does your audience like the presentation because of what ? How do they react to each question? Are they paying attention to the presentation? You need to put those questions together to come up with the final result.

It’s not possible to accurately tell if a presentation is going well or resonating with the crowd. But with AhaSlides, you can collect feedback and analyze how you did.

After the presentation, AhaSlides provides you with the following:

  • A report to see your engagement rate, top responsive slides, quiz results, and your audience behavior.
  • A shareable link of the presentation that already has all the participants’ responses. So, you can always come back to it to know your strengths, weaknesses, and what your audience needs in a presentation. Additionally, you can export the necessary data to an excel or PDF file. But this is only on the paid plan.

Undoubtedly, choosing a comprehensive and easy-to-use interactive presentation software will transform your presentations.

AhaSlides revolutionizes traditional presentations by offering interactive features that encourage audience participation and collaboration. Through live polls, quizzes, and Q&A sessions, the audience can actively engage with the content and express their opinions.

Advantages of Presentations

Advantages of Presentation

1) Effective Communication

One of the primary advantages of Presentations is their ability to facilitate effective communication . Whether you're addressing a small group of colleagues or a large audience at a conference, Presentations help you to convey your message clearly and succinctly. By structuring your content and using visuals, you can ensure that your key points are highlighted and easily understood by the audience.

2) Visual Appeal

"Seeing is believing," and Presentations capitalise on this aspect of human psychology. The use of visuals, such as charts, graphs, images, and videos, enhances the overall appeal of the content. These visual aids not only make the information more engaging but also help reinforce the main ideas, making the Presentation more memorable for the audience.

3) Engaging the Audience

Captivating your audience's attention is crucial for effective communication. Presentations provide ample opportunities to engage your listeners through various means. By incorporating storytelling , anecdotes, and real-life examples, you can nurture an emotional connection with your audience. Additionally, interactive elements like polls, quizzes, and group activities keep the audience actively involved throughout the Presentation.

4) Simplifying Complex Information

Complex ideas and data can often be overwhelming, making it challenging to convey them effectively. However, Presentations excel in simplifying intricate information. By simplifying complex concepts into clear and interconnected slides, you can present the information in a logical sequence, ensuring that the audience grasps the content more easily.

5) Persuasive Impact

Presentations are powerful tools for persuasion and influence. Whether you're convincing potential clients to invest in your product, advocating for a particular cause, or delivering a motivational speech, a well-crafted Presentation can sway the audience's opinions and inspire action. The combination of visual and verbal elements enables you to make a compelling case for your ideas, leaving a lasting impact on the listeners.

6) Versatility in Delivery Methods

Another advantage of Presentations lies in their flexibility and versatility in terms of delivery methods. Gone are the days when Presentations were limited to in-person meetings. Today, technology allows presenters to reach a wider audience through various platforms, including webinars, online videos, and virtual conferences. This adaptability makes Presentations an ideal choice for modern communication needs.

7) Enhanced Understanding and Retention

When information is presented in a visually appealing and structured manner, it aids in better understanding and retention. Human brains process visuals faster and more effectively than plain text, making Presentations an ideal medium for conveying complex concepts. The combination of visual elements and spoken words create a multi-sensory experience, leading to increased information retention among the audience.

8) Professionalism and Credibility

In professional settings, well-designed Presentations lend an air of credibility and professionalism to the presenter and the topic being discussed. A thoughtfully crafted Presentation shows that the presenter has put effort into preparing and organising the content, which in turn enhances the audience's trust and receptiveness to the information presented.

Disadvantages of Presentations

Disadvantages of Presentation

1) Time-consuming

Creating a compelling Presentation can be a time-consuming process. From researching and gathering relevant information to designing visually appealing slides, a significant amount of effort goes into ensuring that the content is well-structured and impactful. This time investment can be challenging, especially when presenters have tight schedules or are faced with last-minute Presentation requests.

2) Technical Glitches

Presentations heavily rely on technology, and technical glitches can quickly turn a well-prepared Presentation into a frustrating experience. Projectors may malfunction, slides might not load correctly, or audiovisual components may fail to work as expected. Dealing with such technical issues during a Presentation can disrupt the flow and distract both the presenter and the audience.

Turn raw data to actionable insights with our Data Analysis Skills Training – join us and advance your analytical abilities!

3) Overdependence on Technology

In some cases, presenters may become overly reliant on the visuals and technology, neglecting the importance of direct engagement with the audience. Overloaded slides with excessive text can make presenters read directly from the slides, undermining the personal connection and interaction with the listeners. This overdependence on technology can lead to a lack of spontaneity and authenticity during the Presentation.

4) Lack of Interactivity

Traditional Presentations, particularly those delivered in large auditoriums, may lack interactivity and real-time feedback. In comparison, modern Presentation formats can incorporate interactive elements; not all Presentations provide opportunities for audience participation or discussions. This one-sided communication can lead to reduced engagement and limited opportunities for clarifying doubts or addressing queries.

5) Public Speaking Anxiety

For many individuals, public speaking can be a nerve-wracking experience. Presenting in front of an audience, especially in formal settings, can trigger anxiety and stage fright. This anxiety may affect the presenter's delivery and confidence, impacting the overall effectiveness of the Presentation. Overcoming public speaking anxiety requires practice, self-assurance, and effective stress management techniques.

6) Not Suitable for all Topics

While Presentations are an excellent medium for conveying certain types of information, they may not be suitable for all topics. Some subjects require in-depth discussions, hands-on demonstrations, or interactive workshops, which may not align well with the traditional slide-based Presentation format. Choosing the appropriate communication method for specific topics is crucial to ensure effective knowledge transfer and engagement.

7) Accessibility Concerns

In a diverse audience, some individuals may face challenges in accessing and comprehending Presentation materials. For example, people with visual impairments may find it difficult to interpret visual elements, while those with hearing impairments may struggle to follow the spoken content without proper captions or transcripts. Addressing accessibility concerns is vital to ensure inclusivity and equal participation for all attendees.

8) Information Overload

Presentations that bombard the audience with excessive information on each slide can lead to information overload. When the audience is overwhelmed with data, they may struggle to absorb and retain the key points. Presenters should strike a balance between providing adequate information and keeping the content concise and focused.

Frequently Asked Questions (FAQs)

presentation software advantages

Keynote is a sleek and sophisticated presentation software for Apple users.

It’s available for free on both mobile and desktop, so all Mac, iPhone and iPad users can create presentations with it and share them across multiple devices.

In fact, the software comes built-in with Mac.

Keynote is packed with features like beautiful templates, animations, cinematic transitions, 2D and 3D charts, and more.

presentation software advantages

Microsoft PowerPoint is the world’s most famous presentation software.

It is also one of the oldest presentation tools around, which is why almost everyone who knows how to make a presentation is aware of it.

Unlike Keynote, PowerPoint is available for both Windows and Mac, although the Windows version is more robust than the Mac version.

And unlike Keynote, PowerPoint is not free. You can either purchase it independently or as part of a Microsoft 365 subscription.

Let’s take a look at the top advantages and disadvantages of Apple Keynote.

Advantage #1: Beautiful Themes and Templates

A big advantage of using Keynote is it comes built-in with several beautifully designed templates organized into categories like Basic, Minimal, Bold and others.

presentation software advantages

This means you don’t need to spend hours customizing the templates to make them look good. Most of them are ready-to-go with eye-catching color schemes, excellent font pairing, placeholder images and modern layouts.

Advantage #2: User-Friendly Interface

If you’re an Apple user, you’ll find Keynote’s user interface familiar, easy-to-navigate and just overall cleaner than PowerPoint’s. The toolbar is less cluttered, and you don’t have to choose from a million options for everything.

presentation software advantages

You can say Keynote has fewer features than PowerPoint, but that’s actually a good thing. It helps you stay focused, and create a presentation that effectively conveys your message instead of coming out as a tangled web of animations and effects.

Advantage #3: Free for Apple Users

Lastly, the biggest advantage of Keynote is it’s completely free for Apple users .

This is especially useful if you’re looking for a no-frills software to create presentations, and you don’t want to pay for any additional features.

Also, Keynote comes built-in with your desktop Mac, so you don’t even need to worry about downloading it on your computer.

Disadvantage #1: Fewer Export Options

On the flip side, Keynote doesn’t let you export your presentations in as many formats as PowerPoint does.

presentation software advantages

However, you can still export your presentation in PPTX, PDF, HTML, Movie, GIF and image formats, which is enough for most users.

Disadvantage #2: No App for Windows Users

PowerPoint has an app for Mac, but Keynote doesn’t have one for Windows. That’s a bit disappointing, but we all know that Apple likes to keep its products “exclusive” to Apple users.

So, if you’re a Windows user, Keynote is not the ideal software for you.

Disadvantage #3: Steep Learning Curve for PowerPoint Users

If you’re a Windows user and you still want to use Keynote to create a presentation, you might not like it that much.

The user interface is very different from PowerPoint and other Microsoft products, and it might take a while for you to get the hang of it.

If you’re short on time, this might impact your productivity, so it’s best you stick to PowerPoint or find another easy-to-use presentation software .

Let’s take a look at the top advantages and disadvantages of Microsoft PowerPoint.

Advantage #1: More Formatting Options

If you’re picky about the formatting of your presentations, and you want them to look super custom and unique, PowerPoint would be the perfect software for you.

presentation software advantages

The presentation software is jam-packed with all kinds of editing and formatting tools, from dozens of animation styles to data viz tools to color and font settings to slide settings.

With PowerPoint, you can really make your presentation look like anything you want, as long as you put in enough time and effort.

Advantage #2: Extensive Template Options

That’s the perk of being the most popular presentation software in the world — there are millions of PowerPoint templates, themes, plugins and integrations you can download from third-party websites.

presentation software advantages

If you search for it, you can find a PowerPoint presentation template for literally any use case — from business presentations to pitch decks to educational and personal slideshows.

The best part is that most of the PowerPoint templates you can find online are free to download and use.

Advantage #3: Familiar Interface for Windows Users

Another big advantage of using PowerPoint is that it has a very familiar interface for Windows and Microsoft application users.

The ribbon toolbar is a crowd-favorite, for example. It’s structured the same way as the toolbar on Microsoft Word and Microsoft Excel.

This high level of familiarity leads to higher productivity as you don’t need to spend any time learning how the tool works before you can get to the good stuff.

Disadvantage #1: Death by PowerPoint

The biggest disadvantage of using PowerPoint is probably the fact that most PowerPoint presentations turn out looking similar to each other — and not in a good way.

In fact, PowerPoint presentations are known to look so boring that it has led people around the globe to coin the term “Death by PowerPoint.”

This is partly because most PowerPoint themes and templates are very basic-looking. They aren’t as modern and polished as Keynote templates, and may put your audience to sleep if you don’t get creative with them.

The concept of “Death by PowerPoint” also led to the creation of modern and more creative presentation tools, like Visme .

Disadvantage #2: Too Many Features

Yes — too many features can be a disadvantage, especially in the case of PowerPoint.

With so many animation styles and transition options at your fingertips, it’s easy to lose focus and end up with an over-the-top presentation that confuses your audience instead of getting the message across.

presentation software advantages

To really make the most of PowerPoint, you need to be careful with the type and frequency of animations and features you use, which can be difficult if you’re not a pro designer.

Disadvantage #3: Costs Money

Unlike Keynote, PowerPoint is not a free presentation software.

It doesn’t come built-in with your PC, and it actually costs a lot if you plan on downloading it as an individual software.

This is a major deal breaker if you’re looking for a free presentation maker as a casual presenter or a student. If that’s the case, just know that PowerPoint is not for you.

Keynote and PowerPoint both offer excellent features to help you create, view and share presentations of all sorts and for various purposes.

However, there are some unique features that each tool offers that help differentiate it from the other. Read on to find out more about Keynote and PowerPoint features.

Keynote Feature #1: Transparency Effects

A cool feature of Keynote is it lets you easily tweak the opacity settings of an image or graphic object.

presentation software advantages

This is a useful feature for creative backgrounds, such as a faded image with text on top, as shown in the example above.

Keynote Feature #2: Magic Move

One of the best and most unique features of Keynote is the Magic Move slide transition.

If you’re using the same object on multiple slides, you can reposition the object on one slide and enable a smooth, almost magical transition of it from the previous slide.

Here’s how that would look like:

Pretty cool, right? The Magic Move feature lets you create sleek, polished presentations with seamless transitions between the slides.

Keynote Feature #3: Sync to Other Apple Devices

If you’re using Keynote, you can easily sync your presentation with other Apple devices you own, such as an iPhone or an iPad.

This is a handy little feature if you want to access your presentation on both desktop and mobile without going through the hassle of transferring the file manually.

For example, you might want to continue editing your presentation on the move. Or, maybe you created a presentation on your phone but want to present it using your laptop.

PowerPoint Feature #1: Advanced Master Slide Editing

One of PowerPoint’s useful features is the ability to extensively edit the Master slide of your presentation. You can also do that in Keynote, but the feature is not as robust as it is in PowerPoint.

presentation software advantages

For example, if you want to add your company logo to all slides, you can easily do so with PowerPoint's Master slide. In Keynote, though, you’ll need to add the logo manually to every slide.

PowerPoint Feature #2: Graphics Library

PowerPoint’s graphics library lets you search for icons, stickers and even stock images right from inside your presentation editor. Of course, you need to have a Microsoft 365 subscription in order to browse the premium graphic assets.

best presentation software - powerpoint graphic library

This is a nice feature to have if you don’t have any images in your computer to upload. On Keynote, you can only upload images from your computer as there’s no stock image library connected to the web.

PowerPoint Feature #3: Save as a Read-Only File

Last but not least, PowerPoint lets you save files as Read-Only, which means if you share your presentation with others, they won’t be able to edit it.

This is a nice feature to have if you want to protect the content or design of your presentation from being modified in any way.

Even though you can’t save your presentations as Read-Only in Keynote, you can password-protect them, which is also a great feature to have.

Both Keynote and PowerPoint offer dozens of built-in presentation themes and templates, and you can also find templates on third-party sites for both tools.

That said, there are some distinct differences between the templates offered by each presentation tool.

Keynote Templates

Keynote’s built-in presentation templates are generally better-looking and cleaner than the ones offered by PowerPoint. Plus, they’re categorized by design style and use cases, which makes it easier to find relevant templates quickly.

You can also download free and paid Keynote templates from various third-party websites, such as Envato and Creative Market.

PowerPoint Templates

PowerPoint’s template library also offers plenty of options to help you create presentations for virtually any use case.

These templates are more generic — you can call them “themes.” They’re not really made for any specific use case, and are actually pretty basic-looking.

That said, you can still customize them extensively using PowerPoint’s powerful formatting features.

Just like with Keynote, you can find millions of free and paid PowerPoint templates on various third-party websites.

Let’s take a look at the pricing details of each presentation software.

Keynote Pricing

Keynote is completely free for Apple users.

You can use it on your Mac, iPad and iPhone at zero cost. It comes built-in with your desktop Mac, but you need to download the app for your other devices.

PowerPoint Cost

Microsoft PowerPoint is not free, even for Windows users.

However, it does offer a free online version that you can download on any device, including on your phone.

presentation software advantages

If you’re buying PowerPoint as part of the Microsoft 365 suite, it will cost you around $6.99 per month. This comes with cloud storage and other apps, like Word and Excel, and the price varies with the number of users on your team.

You can also purchase PowerPoint on its own, but that will cost you around $139 and it doesn’t come with cloud storage.

Online vs Offline Performance

When it comes to presenting online and offline, both Keynote and PowerPoint are somewhat similar.

You can download presentations as PPTX or PDF files using both software, and then share them online or via an external storage device to present offline.

You can also present them directly within the software by connecting to a projector or screen, and using the Slideshow or Presenter modes.

That said, there are a few differences between the two.

Keynote Performance

Keynote is an offline app available for both desktop and mobile.

While it offers cloud storage and lets you sync your presentations between devices, there’s no online version you can use to create or view presentations.

PowerPoint Performance

Unlike Keynote, PowerPoint offers an online version called PowerPoint Online. You can use it on any device, including as a Google Chrome extension or a mobile app.

Teamwork & Collaboration

Both tools offer limited teamwork and collaboration features. Here’s a detailed comparison of how each software stacks up in this area.

Keynote lets you invite other people to view and even edit your presentation in real-time. For this feature to work, you’ll need to set up your iCloud account.

presentation software advantages

Collaboration in PowerPoint works in the same way as it does in Keynote, except that you need to connect your software with OneDrive, not iCloud.

presentation software advantages

You can then share your presentation by emailing the link to specific people, and set permissions on whether they can view or edit it in real-time.

Storage & Backup

Both Keynote and PowerPoint are downloadable software, which means they let you store your presentations on your computer or any other device you’re working on.

Below is a detailed explanation for each presentation software.

Keynote lets you store your presentations on both your computer and on the cloud.

presentation software advantages

You can download your presentations in PDF, PPTX, PPT, HTML, image and video formats. To store your presentations on the cloud, you’ll need an iCloud account.

Similar to Keynote, you can download your PowerPoint presentations in various formats, such as PDF, PPTX, PPT, HTML and more to store on your computer.

You can also connect your software to OneDrive to enable cloud storage for your presentations.

Both software give you limited functionality to embed external content, such as videos.

In Keynote, there’s an option to insert web videos that allows you to embed videos from YouTube and Vimeo in your presentations.

Just like Keynote, you can embed videos from YouTube and Vimeo in your PowerPoint presentations. If you have a Microsoft 365 account, you can also embed videos from Microsoft Stream.

presentation software advantages

PowerPoint also lets you embed content from other Microsoft Office applications, such as charts and graphs from Excel. You can also embed content from any application that supports Object Linking and Embedding (OLE).

Is Keynote Better Than PowerPoint?

If you’re an Apple user, then yes — Keynote is probably better for you than PowerPoint.

Why? Because it’s free, comes built-in with your Mac, syncs with all your devices and has a nice, clean design-driven interface.

Also, Keynote has better templates and themes for various use cases.

But if you’re a Windows user, you’re better off with using PowerPoint. It has a familiar interface and ribbon toolbar, which makes it easier to create presentations fast.

Also, if you’re in a corporate setting where you need to share your presentation with other users and if your colleagues all use Microsoft Office, PowerPoint is a better choice because of superior compatibility and integration support.

But what if I told you there’s an even better presentation software out there than both Keynote and PowerPoint?

Yes, you can. Keynote lets you open PowerPoint files. All you need to do is save your PowerPoint presentation as a PPTX file, and open it in Keynote to start converting it.

Beware of using 3D text, shapes and other PowerPoint-only features in your presentations as they might be supported in Keynote.

Q2. Can you use Keynote on a PC?

No. You can only use Keynote on Mac, iPhone and iPad.

Q3. When to use Keynote over PowerPoint?

There are several instances where you might want to use Keynote over PowerPoint, such as:

  • You’re a Mac user or iOS user

  • You want to password-protect your presentations

Q4. How to make your Keynote presentation stand out?

Make your Keynote presentation stand out by using visuals like images, icons and shapes. Use lots of white space and less text to prevent your slides from looking cluttered.

Q5. Does Keynote have audio?

Keynote offers the ability to upload audio files from your computer or record audio directly within the app.

Q6. What is the best Keynote template?
