Theses & Dissertations

Citing a published thesis, citing an unpublished thesis, citing a thesis in online database or repository.

  • CMS 14.224: Theses and dissertations

Titles of unpublished works appear in "quotation marks"—not in italics . This treatment extends to theses and dissertations, which are otherwise cited like books.

The kind of thesis, the academic institution, and the date follow the title. Like the publication data of a book, these are enclosed in parentheses in a note but not in a bibliography.

If the document was consulted online, include a URL or, for documents retrieved from a commercial database, give the name of the database and, in parentheses, any identification number supplied or recommended by the database.

How to Cite a Thesis/Dissertation in Chicago/Turabian

Academic theses and dissertations can be a good source of information when writing your own paper. They are usually accessed via a university’s database or a third party database, or found on the web. The main difference between a thesis and a dissertation is the degree type they are submitted for:

  • Thesis—A document submitted to earn a degree, such as a master’s degree, at a university.
  • Dissertation—A document submitted to earn an advanced degree, such as a doctorate, at a university.

This guide will show you how to create notes-bibliography style citations for theses and dissertations in a variety of formats using the 17th edition of the  Chicago Manual of Style.

Citing an Unpublished Thesis or Dissertation

In rare cases, you may need to cite a thesis or dissertation that has not yet been published. This is particularly the case if you want to cite your own work or the work of a colleague.

Introduction

The Chicago Manual of Style  (CMOS) covers a variety of topics from manuscript preparation and publication to grammar, usage, and documentation, and as such, it has been lovingly dubbed the “editor's bible.”

The material on this page focuses primarily on one of the two CMOS documentation styles: the Notes-Bibliography System (NB) , which is used by those working in literature, history, and the arts. The other documentation style, the Author-Date System, is nearly identical in content but slightly different in form and is preferred by those working in the social sciences.

Though the two systems both convey all of the important information about each source, they differ not only in terms of the way they direct readers to these sources, but also in terms of their formatting (e.g., the position of dates in citation entries). For examples of how these citation styles work in research papers, consult our sample papers:

In addition to consulting  The Chicago Manual of Style  (17th edition) for more information, students may also find it useful to consult Kate L. Turabian's  Manual for Writers of Research Papers, Theses, and Dissertations  (8th edition). This manual, which presents what is commonly known as the "Turabian" citation style, follows the two CMOS patterns of documentation but offers slight modifications suited to student texts.

Notes and Bibliography (NB) in Chicago style

The Chicago Notes and Bibliography (NB) system is often used in the humanities to provide writers with a system for referencing their sources through the use of footnotes, endnotes, and through the use of a bibliography. This offers writers a flexible option for citation and provides   an outlet for commenting on those sources, if needed. Proper use of the Notes and Bibliography system builds a writer’s credibility by demonstrating their accountability to source material. In addition, it can protect writers from accusations of plagiarism, which is the intentional or accidental uncredited use of source material created by others.

Introduction to Notes

In the Notes and Bibliography system, you should include a note (endnote or footnote) each time you use a source, whether through a direct quote, paraphrase, or summary. Footnotes are added at the end of the page on which the source is referenced, while endnotes are compiled at the end of each chapter or at the end of the entire document.

In either case, a superscript number corresponding to a note, along with the bibliographic information for that source, should be placed in the text following the end of the sentence or clause in which the source is referenced.

If a work includes a bibliography, which is typically preferred, then it is not necessary to provide full publication details in notes. However, if a bibliography is not included with a work, the first note for each source should include  all  relevant information about the source: author’s full name, source title, and facts of publication. If you cite the same source again, or if a bibliography is included in the work, the note only needs to include the surname of the author, a shortened form of the title (if more than four words), and the page number(s). However, in a work that does not include a bibliography, it is recommended that the full citation be repeated when it is first used in a new chapter.

In contrast to earlier editions of CMOS, if you cite the same source two or more times consecutively, CMOS recommends using shortened citations. In a work with a bibliography, the first reference should use a shortened citation which includes the author’s name, the source title, and the page number(s), and consecutive references to the same work may omit the source title and simply include the author and page number. Although discouraged by CMOS, if you cite the same source and page number(s) from a single source two or more times consecutively, it is also possible to utilize the word “Ibid.,” ( from the Latin ibidem, which means “in the same place,”) as the corresponding note. If you use the same source but a draw from different new page, the corresponding note should use “Ibid.” followed by a comma and the new page number(s).

In the NB system, the footnote or endnote itself begins with the appropriate full-sized number, followed by a period and then a space.

Introduction to Bibliographies

In the NB system, the bibliography provides an alphabetical list of all sources used in a given work. This page, most often titled Bibliography, is usually placed at the end of the work preceding the index. It should include all sources cited within the work and may sometimes include other relevant sources that were not cited but provide further reading.

Although bibliographic entries for various sources may be formatted differently, all included sources (books, articles, websites, etc.) are arranged alphabetically by author’s last name. If no author or editor is listed, the title or, as a last resort, a descriptive phrase may be used.

Though useful, a bibliography is not required in works that provide full bibliographic information in the notes.

Common Elements

All entries in the bibliography will include the author (or editor, compiler, translator), title, and publication information.

Author Names

The author’s name is inverted in the bibliography, placing the last name first and separating the last name and first name with a comma; for example, John Smith becomes Smith, John.

Titles of books and journals are italicized. Titles of articles, chapters, poems, etc. are placed in quotation marks .

Publication Information

The year of publication is listed after the publisher or journal name .

Punctuation

In a bibliography, all major elements are separated by periods.

If you are adding an appendix to your paper there are a few rules to follow that comply with Chicago guidelines:

  • The Appendix appears before the Bibliography
  • If you have more than one appendix you would name the first appendix Appendix A, the second Appendix B, etc.
  • The appendices should appear in the order that the information is mentioned in your essay
  • Each appendix begins on a new page

Assemble your paper in the following order:

  • Body of paper
  • Appendix (if needed)
  • Bibliography

Use Times New Roman, Size 12 (unless otherwise instructed).

Margins and Indents

Your margins should be 1 inch on all sides.

Indent new paragraphs by one-half inch.

Double-space the main text of your paper.

Single-space the footnotes and bibliography, but add a blank line between entries.

Start numbering your pages on the  second  page of your paper (don't include the title page).

Put your page numbers in the header of the first page of text (skip the title page), beginning with page number 1. Continue numbering your pages to the end of the bibliography.

Place the footnote number at the end of the sentence in which you have quoted or paraphrased information from another source. The footnote number should be in superscript, and be placed  after  any punctuation.

Put your footnotes in the footer section of the page.

Your research paper ends with a list of all the sources cited in the text of the paper. This is called a bibliography.

Here are nine quick rules for this list:

  • Start a new page for your bibliography (e.g. If your paper is 4 pages long, start your bibliography on page 5).
  • Centre the title, Bibliography, at the top of the page and do not bold or underline it. Look for the alignment option in Word. 
  • Leave two blank lines between the title and the first entry on your list.
  • Single-space the list, but leave one blank line between entries.
  • Start the first line of each citation at the left margin; each subsequent line should be indented (also known as a "hanging indent").
  • Put your list in alphabetical order. Alphabetize the list by the first word in the citation. In most cases, the first word will be the author’s last name. Where the author is unknown, alphabetize by the first word in the title, ignoring the words a, an, the.
  • For each author, give the last name followed by a comma and the first name followed by a period.
  • Italicize the titles of full works , such as: books, videos (films and television shows), artwork, images, maps, journals, newspapers, magazines.
  • Do not italicize titles of parts of works , such as: articles from newspapers, magazines, or journals / essays, poems, short stories or chapter titles from a book / chapters or sections of an Internet document. Instead, use quotation marks.

What Is An Annotated Bibliography?

An  annotated bibliography  is a list of citations for various books, articles, and other sources on a topic. The annotated bibliography looks like a Works Cited page but includes an annotation after each source cited. An annotation is a short summary and/or critical evaluation of a source. Annotated bibliographies can be part of a larger research project, or can be a stand-alone report in itself.

Types of Annotations

 A  summary annotation  describes the source by answering the following questions: who wrote the document, what the document discusses, when and where was the document written, why was the document produced, and how was it provided to the public. The focus is on description. 

 An  evaluative annotation  includes a summary as listed above but also critically assesses the work for accuracy, relevance, and quality. Evaluative annotations can help you learn about your topic, develop a thesis statement, decide if a specific source will be useful for your assignment, and determine if there is enough valid information available to complete your project. The focus is on description and evaluation.

  • Cite the source using Chicago style.
  • Describe the main ideas, arguments, themes, theses, or methodology, and identify the intended audience.
  • Explain the author’s expertise, point of view, and any bias he/she may have.
  • Compare to other sources on the same topic that you have also cited to show similarities and differences.
  • Explain why each source is useful for your research topic and how it relates to your topic.
  • Evaluate the strengths and weaknesses of each source.
  • Identify the observations or conclusions of the author. 

Remember: Annotations are original descriptions that you create after reading the document. When researching, you may find journal articles that provide a short summary at the beginning of the text. This article abstract is similar to a summary annotation. You may consult the abstract when creating your evaluative annotation, but never simply copy it as that would be considered plagiarism. 

Tips on Writing & Formatting an Annotated Bibliography

  • Each annotation should be one paragraph, between three to six sentences long (about 150- 200 words).
  • Start with the same format as a regular Bibliography list.
  • All lines should be double-spaced. Do not add an extra line between the citations.
  • If your list of citations is especially long, you can organize it by topic.
  • Try to be objective, and give explanations if you state any opinions.
  • Use the third person (e.g., he, she, the author) instead of the first person (e.g., I, my, me)

What is a Thesis Statement?

A thesis statement :

  •   is a road map to the paper and tells the reader what to expect from the rest of the paper.
  • answers a question.  It is your interpretation of a question or subject. The subject of your essay might be World War II or Moby Dick; your thesis develops a persuasive interpretation for understanding your subject.
  • makes a claim that others might dispute.
  • is usually a single sentence near the beginning of your paper that presents your argument to the reader. The body of the paper presents evidence to persuade the reader of the logic of your interpretation.

What Kind of Paper are You Writing?

The following paper types require a thesis statement:

Analytical Paper:  Breaks down an issue or an idea into its component parts, evaluates the issue or idea, and presents this breakdown and evaluation  to the audience.

E xpository (or Explanatory) Paper:  Explains something to the audience.

A rgumentative Paper:  Makes a claim about a topic and justifies this claim with specific evidence. The  claim  could be an opinion, a policy proposal, an evaluation, a cause-and-effect statement, or an interpretation. The goal of the argumentative paper is to convince the audience that the claim is true based on the evidence provided.

How Do I Know if My Thesis is Strong?

  W hen reviewing your first draft and its working thesis, ask yourself the following :

  • Do I answer the question?  Re-reading the question prompt after constructing a working thesis can help you fix an argument that misses the focus of the question.
  • Have I taken a position that others might challenge or oppose?  If your thesis simply states facts that no one would, or even could, disagree with, it’s possible that you are simply providing a summary, rather than making an argument.
  • Is my thesis statement specific enough?  Thesis statements that are too vague often do not have a strong argument. If your thesis contains words like “good” or “successful,” see if you could be more specific: why is something “good”; what specifically makes something “successful”?
  • Does my thesis pass the “So what?” test?  If a reader’s first response is likely to  be “So what?” then you need to clarify, to forge a relationship, or to connect to a larger issue.
  • Does my essay support my thesis specifically and without wandering?  If your thesis and the body of your essay do not seem to go together, one of them has to change. It’s okay to change your working thesis to reflect things you have figured out in the course of writing your paper. Remember, always reassess and revise your writing as necessary.
  • Does my thesis pass the “how and why?” test?  If a reader’s first response is “how?” or “why?” your thesis may be too open-ended and lack guidance for the reader. See what you can add to give the reader a better take on your position right from the beginning.

Thesis and dissertation can mean different things, depending on which institution the work is from.

At Auckland University of Technology (and other NZ universities):

  • Thesis is used either for a doctoral or a master's degree.
  • Dissertation is used either for a master's or a bachelor's degree with honours.
  • Exegesis is the written component of a practice-based thesis where the major output is a creative work;  e.g. a film, artwork, novel.

In some other parts of the world, such as the United States, a dissertation may be used for a doctoral degree and a thesis   used for a master's degree. You can use the same citation pattern, no matter what the type of thesis is called.

List the type of thesis as it appears on the title page, but abbreviate dissertation as diss .

Footnote Citation for a Thesis or Dissertation

The Chicago Manual of Style ’s footnote referencing system uses superscript numbers to point to citations. For instance:

The footnote format for a thesis or dissertation in Chicago referencing is similar to the one used for a book . The main difference is that you should use quote marks instead of italics for the title:

n. Author name, “Title of paper” (type of paper, academic institution, year of completion), page number, URL/database name (document ID).

Of course, you only need to give a URL or database name and ID if you accessed the paper online! To cite page 42 of John Smith’s printed PhD thesis, then, your footnote would look like this:

1. John Smith, “Useful Ideas for Research” (PhD diss., University of Learning, 2006), 42.

If you’re citing only an abstract, simply add the word “abstract” after the title:

For repeat citations, use the standard shortened footnote format .

The Bibliography Entry

The bibliography entry for a thesis or dissertation will be similar to the first footnote citation. However, there are a few differences in the format:

  • You will need to use a period between each element, not a comma.
  • The first author’s name should be inverted (i.e., “Surname, First Name”)
  • You do not need parentheses for the additional paper information (i.e., the paper type, institution, and year of completion).
  • No page number is required.

So, bibliography entries for these sources should look like this:

Author Surname, Author First Name. “Title of paper.” Type of paper, academic institution, year of completion. URL/database ID.

Thus, you would present your bibliography entries as follows:

Persson, Tom. “Great Thoughts and Stuff.” Abstract. Master’s thesis, Educational Establishment of City Name Here, 2012. https://CityNameUniversity.edu/1901.11/39144.

Smith, John. “Useful Ideas for Research.” PhD diss., University of Learning, 2006.

How to cite a master's thesis in Chicago

To cite a master's thesis in a reference entry in Chicago style 17th edition include the following elements:

  • Author(s) of the thesis: Give first the last name, then the name as presented in the source (e. g. Watson, John). For two authors, reverse only the first name, followed by ‘and’ and the second name in normal order (e. g. Watson, John, and John Watson). For more than seven authors, list the first seven names followed by et al.
  • Title of the thesis: Give the title in quotation marks.
  • Degree: Type of degree.
  • University: Give the name of the institution.
  • Year of publication: Give the year of publication as presented in the source.

Here is the basic format for a reference list entry of a master's thesis in Chicago style 17th edition:

Author(s) of the thesis . " Title of the thesis ." Degree , University , Year of publication .

Chicago-Style Citation Quick Guide

Chicago-style source citations come in two varieties: (1) notes and bibliography and (2) author-date. If you already know which system to use, follow one of the links above to see sample citations for a variety of common sources. If you are unsure about which system to use, or how the two systems are related, read on.

Notes and Bibliography or Author-Date?

In the notes and bibliography system, sources are cited in numbered footnotes or endnotes. Each note corresponds to a raised (superscript) number in the text. Sources are also usually listed in a separate bibliography. The notes and bibliography system, Chicago’s oldest and most flexible, can accommodate a wide variety of sources, including unusual ones that don’t fit neatly into the author-date system. For this reason, it is preferred by many working in the humanities, including literature, history, and the arts.

In the author-date system, sources are briefly cited in the text, usually in parentheses, by author’s last name and year of publication. Each in-text citation matches up with an entry in a reference list, where full bibliographic information is provided. Because it credits researchers by name directly in the text while at the same time emphasizing the date of each source, the author-date system is preferred by many in the sciences and social sciences.

Aside from the use of numbered notes versus parenthetical references in the text, the two systems share the same style for authors’ names, titles of works, and other cited components. Most authors choose the system used by others in their field or required by their publisher. Students should check with their instructor before deciding which system to use.

The notes and bibliography style is one of two citation options provided by the Chicago Manual of Style . Each time a source is quoted or paraphrased , a superscript number is placed in the text, which corresponds to a footnote or endnote containing details of the source .

Footnotes appear at the bottom of the page, while endnotes appear on a separate page at the end of the text.

There are two types of footnote in Chicago style: full notes and short notes.

Full notes contain the full publication details of the source. The first citation of each source should be a full note.

Full note example

Short notes contain only the author’s last name, the title (shortened if longer than four words), and the page number (if relevant). They are used for all subsequent citations of the same source. It’s also acceptable to use “ ibid. ” instead to refer to the immediately preceding source.

The guidelines for use of short and full notes can vary across different fields and institutions. Sometimes you might be required to use a full note for every citation, or to use a short note every time as long as all sources appear in the Chicago style bibliography . Check with your instructor if you’re unsure.

Footnotes should be used whenever a source is quoted or paraphrased in the text. They appear at the bottom of the relevant page, corresponding to reference numbers in the text. You can easily insert footnotes in Microsoft Word .

The reference number appears in superscript at the end of the clause or sentence it refers to. It is placed after any punctuation except a dash :

Johnson argues that “the data is unconvincing.” 1

Johnson argues that “the data is unconvincing” 1 —but Smith contends that …

Notes should be numbered consecutively, starting from 1, across the whole text. Your first citation is marked with a 1, your second with a 2, and so on. The numbering does not restart with a new page or section (although in a book-length text it may restart with each new chapter).

The footnote contains the number of the citation followed by a period and then the citation itself. The citation always includes the author’s name and the title of the text, and it always ends with a period. Full notes also include all the relevant publication information in parentheses (which varies by source type ).

If you quote a source or refer to a specific passage, include a page number or range. However, if the source doesn’t have page numbers, or if you’re referring to the text as a whole, you can omit the page number.

In short notes, titles of more than four words are shortened. Shorten them in a way that retains the keyword(s) so that the text is still easily recognizable for the reader:

1. Mary Shelley, Frankenstein; or, the Modern Prometheus , ed. M.K. Joseph (Oxford: Oxford University Press, 1998), 91. 2. Shelley, Frankenstein , 91.

Combining multiple citations

Do not place multiple footnotes at the same point in your text (e.g. 1, 2, 3 ). If you need to cite multiple sources in one sentence, you can combine the citations into one footnote, separated by semicolons :

1. Hulme, “Romanticism and Classicism”; Eliot, The Waste Land ; Woolf, “Modern Fiction,” 11.

Footnotes for sources with two or three authors should include all the authors’ names. When there are four or more authors, add “ et al. ” (Latin for “and others”) after the first author’s name.

Missing information

You sometimes won’t have all the information required for your citation. You might be missing page numbers, the author’s name, or the publication date.

If one of your sources (e.g., a website ) has no page numbers, but you still think it’s important to cite a specific part of the text, other locators like headings , chapters or paragraphs can be used. Abbreviate words like “paragraph” to “par.” and “chapter” to “chap.”, and put headings in quotation marks :

1. Johnson, “Literature Review,” chap. 2.1 . 2. Smith, “Thematic Analysis,” under “Methodology.”

If the source lacks a stated publication date, the abbreviation “n.d.” (no date) should replace the year in a full note:

1. Smith, Data Analysis (New York: Norton, n.d. ), 293.

If a text doesn’t list its author’s name, the organization that published it can be treated as the author in your citation:

If you use a website name as an author, you may end up repeating the same information twice in one citation. Omit the website name from its usual place if you’ve already listed it in place of the author.

Short notes usually look similar regardless of source type—author, title, page number. However, the information included in full notes varies according to the source you’re citing. Below are examples for several common source types, showing how the footnote should look in Chicago format .

Italicize the book title. If the book states an edition (other than the first), include this and abbreviate it (e.g., 2nd ed., rev. ed.). Add the URL if you consulted the book online instead of in a physical copy.

Sometimes you’ll cite from one chapter in a book containing texts by multiple authors—for example, a compilation of essays. In this case, you’ll want to cite the relevant chapter rather than the whole book.

The chapter title should be enclosed in quotation marks , while the book title should be italicized. The short note only contains the chapter title.

The author is the one who wrote the specific chapter you’re citing. The editor of the whole book is listed toward the end of the footnote (with the abbreviation “ed.”), and left out of the short note.

The article title should be enclosed in quotation marks, while the journal name should be italicized. Volume and issue numbers identify which edition of the journal the source appears in.

A DOI is a digital object identifier. This is generally more reliable than the URL when linking to online journal content.

The page title should be enclosed in quotation marks. Italicization is not used for website names.

If the publication date is unknown, you can instead list the date when you accessed the page at the end of the citation (e.g., accessed on September 10, 2019).

All of the above information also applies to endnotes. Endnotes are less commonly used than footnotes, but they’re a perfectly valid option.

Footnotes appear at the bottom of the page they refer to.

  • Footnotes allow the reader to immediately check your citations as they read …
  • … but if you have a lot of footnotes, they can be distracting and take up space on the page.

Endnotes appear in their own section at the end of the text, before the bibliography.

  • Endnotes take up less space in the body of your text and reduce distraction …
  • … but they are less accessible, as the reader has to flip to the end to check each note.

Endnote citations look exactly the same as those in footnotes. Unless you’ve been told which one to use, choose whichever you prefer. Just use one or the other consistently.

Footnotes appear at the bottom of the relevant page.  Endnotes appear in a list at the end of the text, just before the reference list or bibliography. Don’t mix footnotes and endnotes in the same document: choose one or the other and use them consistently.

In Chicago notes and bibliography style , you can use either footnotes or endnotes, and citations follow the same format in either case.

In APA and MLA style , footnotes or endnotes are not used for citations, but they can be used to provide additional information.

In Chicago notes and bibliography style , the usual standard is to use a full note for the first citation of each source, and short notes for any subsequent citations of the same source.

However, your institution’s guidelines may differ from the standard rule. In some fields, you’re required to use a full note every time, whereas in some other fields you can use short notes every time, as long as all sources are listed in your bibliography . If you’re not sure, check with your instructor.

In Chicago author-date style , your text must include a reference list . It appears at the end of your paper and gives full details of every source you cited.

In notes and bibliography style, you use Chicago style footnotes to cite sources; a bibliography is optional but recommended. If you don’t include one, be sure to use a full note for the first citation of each source.

Page numbers should be included in your Chicago in-text citations when:

  • You’re quoting from the text.
  • You’re paraphrasing a particular passage.
  • You’re referring to information from a specific section.

When you’re referring to the overall argument or general content of a source, it’s unnecessary to include page numbers.

In a Chicago style footnote , list up to three authors. If there are more than three, name only the first author, followed by “ et al. “

In the bibliography , list up to 10 authors. If there are more than 10, list the first seven followed by “et al.”

Thesis and Dissertation Template

The Graduate College offers a thesis/dissertation template that contains all required content and formatting. You can either write your document from within the template or apply the template’s formatting to your previously created work.

Before You Begin

The first time you download the template, save the template file to your computer before you begin work on your document. This is important if you are composing your thesis/dissertation within the template or if you are copying and pasting your content into the template. You may need the original template file in the future.

Please note: We offer the Google Doc template for initial drafts of your thesis/dissertation to share easily with your committee chair. We do not accept Google Documents as the final document of your thesis/dissertation. Google Docs does not have the functionality we require for our final theses/dissertations. Please use the Google Doc template while keeping in mind that you will need to convert your document to Microsoft Word later.

Download instructions.

  • Download the Boise State Template from the orange callout ribbon above.
  • Show the downloaded file in the Downloads folder.
  • Right click and select Open
  • Enable Content
  • Click File > Save As and name the file, for instance, Boise_State_Template.dotm (note the extension is “.dotm”) and  Save as type:  Word Macro-Enabled Template (*.dotm) .  It is recommended locating this file on your desktop – it may come in handy if you need to reattach the template to your document in the future (see below).
  • Close this file.

Working Within the Template

To work within the template, styles are applied throughout the document. These styles can be found by clicking the arrow in the lower right hand corner of the Styles section in the Home tab. To apply a style, simply highlight the text that you wish to format and click the appropriate name from the styles list.

When entering your own work into the template, be sure to apply the following styles to the appropriate parts of your document. Failure to do so will mean that your Table of Contents, List of Figures, and List of Tables will be incorrect.

  • Format a Heading 1 in all caps, and centered
  • Format a Heading 2 in title-caps, bold, and centered
  • Format a Heading 3 in title-caps, underlined, and aligned left
  • Format a Heading 4 in title-caps, underlined, and indented once
  • Format a Heading 5 in title-caps, underlined and indented twice
  • Figure Captions are bolded and centered in the template. They may also be justified.
  • Table Captions are bolded and aligned left in the template. They may also be justified.
  • Appendix Heading 2
  • Appendix Heading 3

Formatting Landscape Pages

When setting pages of your document to landscape orientation to accommodate large figures or tables, you must reformat their page numbers so that they will still be visible after binding.

  • Open the landscape page’s header by double-clicking within the header.
  • Deselect Link to Previous, located in the Navigation section of the Design tab. Repeat this step for the page following the landscape page.
  • Delete the landscape page’s current page number.
  • Click Insert → Page Number (in the Header & Footer section)→Page Margins.
  • Select Landscape Page Numbers.

Note: If your other pages’ pagination disappears after inserting landscape page numbers, you likely did not turn off Link to Previous. Undo your changes to the page numbers and restart the instructions.

Replacing Table of Contents, List of Figures, and List of Tables

After your writing and editing is complete, you will need to replace the Table of Contents, List of Figures, and List of Tables.

  • Right click the existing TOC, LOF, or LOT.
  • Click Update Field.
  • Select Update entire table and click Ok.

Note: All other lists (such as a List of Abbreviations or List of Graphs) are not updated automatically. Instead, the template includes examples of manually-created lists that can be altered to fit your needs.

Attaching the Template to a Preexisting Document. If your document is at or near completion, it may be easier for you to attach the template to your existing file than to paste your document into a new template.

Formatting Styles and Applying Styles

Before attaching the Thesis/Dissertation template to your document, you must first apply the following styles to the appropriate sections of your work. It does not matter how these styles look – when you first apply them they will not look right – only that the names of the styles match those in the following list exactly. After you have applied all the styles and attach the template the document will be formatted correctly.

These styles can be found by clicking the arrow in the lower right hand corner of the Styles section in the Home tab. Leave this menu open while you work through the document. To apply a style, simply highlight the text that you wish to format and click the appropriate name from the styles list.

Attaching Styles

  • Access the Styles menu by clicking the lower-right corner of the Styles box on the Home tab in Windows. Keep this menu open on the side of your screen and apply the styles to your document as you work.
  • Highlight the text you wish to format (it is often only necessary to “click in” the section you wish to format)
  • Click the appropriate style from the Styles menu

Note: If the style you are looking for is not included in the list you may need to create the style (see next).

Creating Styles

Some required styles will not be listed in the premade styles, thus you will need to create them yourself.

  • Highlight the text that you wish to format
  • Right click the text and select Styles → Save Selection as a New Quick Style.
  • Enter the appropriate style name and click OK.

Note: Remember, it does not matter how these styles look at this time, only that the style names match the names listed in the table above.

Attaching the Template

After applying styles to your document, you can attach the template, which will fix most of your document’s formatting issues.

  • Download the Boise State Thesis and Dissertation Template and save it to your computer. See instructions above under “Before you Begin.”
  • Open the Word document containing your thesis/dissertation, click file, click options, click add-ins, and select templates from the Manage drop down menu at the bottom of the page. Click go.
  • In the Document Template section, click Attach.
  • Navigate to the folder in which you saved the template and select it.
  • Important: Check the box labeled “Automatically update document styles.”

Adjusting Margins

  • Click Ctrl+A to select the entire document.
  • In the Home ribbon, click layout, click margins and select the mirror margin option that contains inside margin 1.5″, top and bottom margins 1.”

Setting Page Numbers

Be careful that you set section breaks between front matter and body text and also between portrait and landscape-oriented pages (see Manually Formatting Your Document for instructions on setting page breaks). Each has a different way of formatting their pagination.

Front Matter

  •  Set a continuous section break immediately before the Heading 1 on the first page that follows your approval pages.
  • Set a continuous section break immediately before the title of Chapter 1.
  • Open the footer on the first page following your approval page by clicking the Footer button in the Header & Footer section of the Insert tab and selecting Edit Footer.
  • Deselect Link to Previous, located in the Navigation section of the Design tab. This step is only necessary for the first numbered page in the front matter.
  • Insert page numbers. Front matter page numbers should be in lowercase Roman numerals and should be centered at the bottom of each page.
  • Double-click inside the footer of the first page in Chapter 1.
  • Deselect Link to Previous, located in the Navigation section of the Design tab. This step is only necessary for the first page in the body text.
  • Delete the page numbers from the footer.
  • Open the header on the same page by double-clicking inside the header.
  • Deselect Link to Previous, located in the Navigation section of the Design tab.
  • Insert alpha-numeric page numbers, starting with 1, into the upper right-hand corner of the pages.

Landscape Pages

  • Repeat step 3 on the page following the landscape page.
  • Click Insert → Page Number (in the Header & Footer section) → Page Margins.

Inserting Table of Contents and Lists of Figures or Tables

Finally, after your document’s content is complete, you will need to create the Table of Contents, List of Figures, and List of Tables.

  • In the Home ribbon, select References , then select Table of Contents and choose the first option.
  • To build your list of tables or figures do the following: on the Home ribbon, select references, select Insert List of Table of Figures, on the options drop down select either table captions or figure captions depending on which you are creating. You will then have to manually insert the heading.

Note: The template does not include macros for automatically generating other lists such as a List of Abbreviations or List of Graphs. However, it does include example lists that can be copied, pasted, and altered to meet your needs.

Helpful Tips

  • Access the Styles menu by clicking the lower-right corner of the styles box on the Home tab in Windows. Keep this menu open on the side of your screen, or on a second screen, and apply the styles to your document as you work. To make the document styles behave, use the styles in the template. For example, for all Heading 1s, use the Heading 1 style, which will automatically insert a break and a 2 inch margin, etc. As long as the styles are used, the document should behave appropriately, and the table of contents will include the headings once updated. To modify the Table of Contents, click once to highlight the table in gray, right-click and select “Update Entire Field.”
  • Show formatting marks as you work in your document.  Click on the File tab, then Options, Display, and click on the box “Show all formatting marks” and OK.
